Ground Transportation Dispatcher

TIME FRAME: SHORT TERM, SEASONAL POSITION

POSITION SUMMARY: The Ground Transportation Dispatcher plays a crucial role in facilitating seamless transportation for Talent between the airport, hotel, and festival site. Responsibilities include communicating schedule updates, monitoring driver locations and statuses, and addressing any issues that may arise during transportation.

ESSENTIAL FUNCTIONS:

• Collaborate with the Driver Manager and Assistant Driver Manager in pre-festival preparations.
• Develop proficiency in Traverse, the Ground Transportation software.
• Check in with the Driver Manager upon arrival to receive updates and review the daily Ground Schedule.
• Continuously monitor driver statuses and locations, using radio communication as the primary method, followed by phone calls for timely follow-ups.
• Keep the trailer phone line open with Travel Manager/Travel Assistant for efficient coordination.
• Maintain vigilant monitoring of driver locations and statuses, promptly notifying the Travel Manager of any discrepancies or potential issues.
• Record all schedule changes and promptly update drivers, prioritizing this task above all other activities.
• Monitor flight statuses for airport pick-ups, informing drivers of early arrivals or delays.
• Keep drivers informed about road conditions, track status, and any potential obstacles affecting transportation.
• Report any driver issues, such as festival gate closures, traffic, or airport delays, to the Driver Manager.
• Adhere to the designated lunch break from 12:30 pm to 1:30 pm on festival days; seek approval from the Driver Manager for all other non-bathroom breaks.
• Attend the annual music production meeting scheduled the week prior to the Festival.

REQUIREMENTS:

• Must complete all required Feedback Forms, Final Reports, and other duties as assigned.
• Must maintain confidentiality regarding sensitive issues.
• Any document, computer program, design or other intellectual property created for the Jazz Festival belongs to the Jazz Festival and must be given to the Festival through your supervisor or department head at the end of each production year, or upon request.
• Using the Absentee Request Form, it is the responsibility of each employee and their supervisor to accurately report their absenteeism to the HR Office.
• Must attend and complete any required training.
• Must complete all required Feedback Forms and Final reports.

EDUCATION, EXPERIENCE, & SKILLS REQUIRED:

• Strong organizational and communication skills.
• Ability to multitask effectively.
• Creative problem-solving and quick-thinking abilities.
• Proficiency in computer skills, including Gmail, Google Drive, and Slack.
• Background in production is advantageous.
