Job Summary
The Grants Project Manager is responsible for a diverse portfolio of grants and major contracts throughout the award life cycle. The Manager supports the Senior Manager of Institutional Giving in the proposal stage, gathering needed information from across departments (Clinical, Finance and Mission Advancement) to ensure on-time application submission. Upon grant or contract award notification, the Manager supports the Finance Grant Manager and Senior Manager of Institutional Giving by 1) coordinating grant implementation including documenting contracts and agreements; 2) monitoring project implementation, including tracking grant deliverables and timelines in grant management system; 3) working cross-departmentally to document KPIs related to grants; and 4) helping coordinate the submission of report updates, dashboards and other reporting requirements as directed.
Essential Responsibilities and Metrics:
Proposal Stage Support:
  • Gather data and provide analysis to support the grant application or contract creation process
  • Review grant and contract requirements and proposals for compliance, program budget impact, allocation stipulations, and forecasting to interpret and document pre-award and post-award implications
  • Consult with the Finance Grants Manager as needed
  • Support the Senior Manager of Institutional Giving as needed in completing the grants vetting document that is reviewed by the Executive Team

Grant Life Cycle Project Management:
  • Create project planning documents and enter grants and contracts into project tracking system
  • Schedule and conduct project meetings, including a kick-off session, identifying and distributing action items
  • Convene internal stakeholders to develop project deliverables
  • Proactively monitor and manage grant and major contract projects
  • Obtain grant budgets from Finance Grants Manager and ensure budgets and cost allocations are monitored by Finance; track changes as needed in agency systems
  • Gather needed data across departments to enable reports to be submitted by the Senior Manager of Institutional Giving and the Finance Grants Manager as appropriate
  • Guide project from kickoff to completion
  • Conduct project debrief sessions
  • Document best practices for continuous quality improvement
  • Identify areas of improvement and establish new processes and procedures with key stakeholders as applicable.

Interdepartmental Communication and Project Execution:
  • Maintain relationships with key stakeholders in each department
  • Keep internal teams apprised of deadlines and deliverables; ensure organizational adherence
  • Oversee and report on progress towards grant or contract aims and objectives, throughout the year

Qualifications:
  • Bachelor's degree required, preferably in project management, business administration, healthcare administration, or related field or equivalent experience.
  • Self-starter who is able to multitask effectively.
  • Demonstrated experience in managing complex projects including project and work plan development, tracking and timeline management. Strong organizational skills.
  • Experience in managing grants preferred but not required.
  • Detail-oriented with the ability to think logically to interpret and analyze problems.
  • Strong communication skills to facilitate cross-department collaboration.
  • Tech savvy, preferably with expertise in QuickBooks and Microsoft Excel.
