Grants and Operations Manager
Job Description
The Grants and Operations Manager plays a pivotal role in managing federal grants efficiently while overseeing corporate operations. This multifaceted position requires a blend of financial, administrative, and communication skills. Below are the key duties and qualifications for this combined role:
Duties and Responsibilities:
- Financial Oversight and Federal Grant Management:
- Track spending against federal grants.
- Administer federal grants, ensuring compliance with regulations and guidelines.
- Coordination of financial information between the Principal Investigators and the Bookkeeper.
- Work with federal grant Principal Investigators to clarify grant-related issues and help resolve federal queries.
- Work with treasurer and bookkeeper to prepare bimonthly and annual financial reports.
- Help transfer bookkeeping records to our CPA for annual IRS 501c3 tax report.
- Work with bookkeeper and Principal Investigators to complete monthly federal grant drawdowns (reimbursements) using ACM$ and PMS.
- Federal Grant Post-Award Management:
- Monitor grant performance, assess compliance and help refine grant performance measures when needed.
- Conduct post-award reviews to identify management, financial, and administrative issues.
- Support Principal Investigators in the submission of annual reports.
- Managing financial benefits and insurance packages.
- Manage and file 403(b) annual reports to our retirement investment company (Vanguard).
- Work with insurance provider (Swenson Ins.) for workers compensation.
- Operations Management:
- Oversee the work of faculty to ensure productivity, adherence, and compliance with deadlines (especially federal reports).
- Work with President and Executive Director to provide guidance and support to employees in a collaborative environment. The position is not responsible for the evaluation or supervision of employees, which is the responsibility of the Executive Director, the President, and the Board of Directors.
- Budget Management:
- Work with finance committee to create and manage the corporate budget.
- Support employees in following budget guidelines.
- Track private grant spending and generate annual reports when needed.
- Communication and Customer Service:
- Help our Associate Scientist/Lab Manager handle on-line customer inquiries and promptly resolve issues and assist her as a support point of contact for internal and external parties.
Qualifications:
- Experience: Experience in financial management or related positions. Familiarity with federal grants is highly desirable, but not required.
- Computer skills: Familiarity with MS Office especially the use MS Excel. Familiarity with Quickbooks is desirable.
- Communication Skills: Excellent verbal and written communication skills.
Our Grant and Operations Manager contributes to ensuring effective financial grant management. The position is part-time for 20-25 hours/week (800-900 hours/year) with flexibility to meet the needs of the applicant and the organization. The position can be executed primarily remotely but we prefer a person who can commute once a month to our STEM Center in Lyme, NH.
