Job Summary:

This position will function as the Project Coordinator for Arizona Biomedical Research Commission (ABRC). The person will facilitate communication with stakeholders and contractors, ensure timely submission of required documentation from and payment of vendors and contractors, participate in program development, coordinate with stakeholders, evaluate submissions for completeness and compliance, participate in meetings, respond to inquiries by phone and email from internal and external stakeholders. This person is also responsible for note-taking, minutes, coordination of compliance with open meeting laws, preparing documents for manager's approval, and other duties as assigned.

Job Duties:

- Coordinate submission of documentation and reporting by contractors and grant recipients, prepare documents for program manager's approval and timely payment by ADHS, and assist in the review of project submissions (e.g. responses to RFGAs or RFPs) for compliance with eligibility and instructions.
- Coordinate, facilitate, and/or participate in stakeholder meetings, take notes (or minutes), and coordinate adherence to open meeting laws; Participate in conferences, meetings, and workshops.
- Provide technical assistance to internal and external partners, vendors, and contractors.

Knowledge, Skills & Abilities (KSAs):

Knowledge of :
-Contract administration, grants, purchasing,
business operations, planning, research,
open meeting laws
-Performance Management
(PM), and Continuous Quality Improvement
(CQI) and Lean methodologies.

Skill In:
- Paying attention to detail, technical writing,
proofreading, formatting, word processing,
spreadsheets, note-taking, cultural and
ethnic sensitivity, program evaluation, oral
and written communication, and
administrative skills such as developing
agendas, taking minutes, and coordinating
meeting arrangements.

Ability to:
- Problem-solve and work on multiple projects
simultaneously, keep all parties informed,
and meet deadlines.
- Make informed decisions, work
effectively with team members in procurement, finance, and vendors.

Selective Preference(s):

Bachelor's degree preferred in a Public Health Business Administration or 5 years of work business administration experience may be considered in lieu of a degree.

Retirement:

To help you build a financially secure future, the State makes monthly contributions to finance your retirement benefit. The State will contribute to the ASRS in an amount equal to your contribution. In other words, you and the State will each pay 50% of the total cost of the benefit. New State employees have a 27-week wait period for contributions to begin.
