Position Summary
Provide front office support and be responsible for general Admissions and Records duties including assisting students with the admission process, automation of degree works software, and graduation audits for undergraduate students at the college on the Decatur Campus.
Salary: Appropriate placement on ACCS Salary Schedule E3, Grade 4: $38,979 - $56,128
Work Hours: Monday through Thursday, 7:45 a.m. - 5:15 p.m.; Friday 7:45 a.m. - 11:45 a.m.

Essential Duties and Responsibilities
  1. Greet visitors, answer the telephone, respond to email, and provide admissions and records assistance to students, faculty, staff, and the general public both in person and over the phone.
  2. Maintain a working knowledge of college information and all admissions and records related processes.
  3. Assist with scanning admissions and records documents into BDMS.
  4. Communicate departmental requirements, policies, and procedures relevant to students throughout all stages of the enrollment cycle from initial application for admission through graduation.
  5. Maintain a confidential working environment with respect to student records in accordance to FERPA guidelines.
  6. Complete final audit of students' records and certify those who have met all program requirements as graduates of the appropriate degree or certificate.
  7. Maintain an extensive knowledge of college degree and certificate programs.
  8. Supports Reverse Transfer by recommending course substitutions and processing the related transcript evaluations.
  9. Maintains and applies thorough knowledge of state laws, regulations and college policies and procedures regarding graduation requirements.
  10. Utilizes a large variety of resources, including appropriate contacts at other institutions and organizations, on-line resources such as the ACCS website, accrediting organization websites (such as CHEA), directories and guides of all kinds, college catalogues, and others.
  11. Assists with the clearing of Reverse Transfer students for graduation, by evaluating transcripts and requesting course substitutions, when necessary.
  12. Maintain course waivers and substitutions.
  13. Recommends course substitutions and enters them in a timely manner.
  14. Assists academic advisors with validating the completion of course requirements for graduation.
  15. Track course substitutions and analyze data to continually improve course substitution processes.
  16. Perform all duties with professionalism.
  17. Assist with other enrollment functions housed in the Office of Admissions & Records as assigned.
  18. Assist with Degree Works.
  19. Maintain and Update Marching Orders Software.
  20. Perform other related duties as assigned.

Qualifications
  1. A minimum of an Associate's degree and a minimum of 3 years of related work experience is required.
  2. Previous higher education experience in student services is required.
  3. Ability to utilize Excel or other database software to sort and manage lists is required
  4. Ability to utilize Word or other word processing tools to prepare and communicate information is required.
Preference will be given to candidates who can demonstrate through their experiences and accomplishments:
  1. Knowledge of community college policies and procedures
  2. Knowledge of and ability to use Banner Student information system and additional components including Application Extender and Banner Document Management System (BDMS);
  3. Knowledge of rules of grammar;
  4. Knowledge of generally accepted office practices and procedures, including records management;
  5. Knowledge of e-script;
  6. Knowledge of FERPA;
  7. Skill in operating a mouse to control a computer;
  8. Skill in operating a computer;
  9. Skill in utilizing a multi-line phone system;
  10. Skill in operating a fax machine, copier, scanner, label maker;
  11. Ability to follow instructions and adhere to prescribed routines;
  12. Ability to utilize Excel or other database software to sort and manage lists;

Sick Leave
All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year. Upon retirement, employees are allowed to convert unused sick time into service time for the purpose of retirement. Retirement
The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions. Responsibility for the management and administration of the TRS is vested in its Board of Control. The Boards of Control elect the Secretary-Treasurer who serves as the Chief Executive Officer of the RSA and is responsible for the day-to-day management of the RSA.
