Position Title:Gift Processing Specialist
Reports To: Associate Director of Advancement Services & Capital Campaign Operations
FLSA status: Non-Exempt, Full time
Position Purpose:
The Gift Processing Specialist will focus efforts on regular processing of charitable gifts made to Food Bank for the Heartland. This position will foster the growth of best practices in the areas of Gift Processing, data management and hygiene, and donor relations. The Gift Processing Specialist partners with the External Affairs department to support the overall development process while contributing to the health and hygiene of the donor database.
Gift Processing and Reporting
  • Process charitable gifts to the Food Bank through Charity Engine.
  • Ensure gift data is handled efficiently, accurately, and confidentially.
  • Utilize donor database and direct data entry procedures, software management, and perform updates in support
  • of data hygiene.
  • Work with Associate Director of Advancement Services & Capital Campaign Operations to ensure that gifts are tracked, credited appropriately, and balanced to the cash journal sheet.
  • Responsible for promptly answering incoming phone calls from donors and maintaining a friendly and helpful demeanor.
  • Coordinate the production and mailing of donor acknowledgements within 48-72 hours from receipt of donation.
  • Manage monthly sustainer gifts with credit card adjustments and inform donors of declined transactions and cancellations.
  • Process daily PayPal donations through PayPal reporting and importing gifts into Charity Engine.
  • Research community obituaries and update donors’ records in Charity Engine.
  • Assist with data standardization processes to streamline workflow and ensure timely and effective Gift Processing procedures.
  • Coordinate the production and mailings to new donors.
  • Work with the queries to help build mailing lists for cultivation, solicitation, and stewardship purposes.
  • Track and monitor all required gift documentation for yearly financial audit.
  • Perform other duties as assigned.
Knowledge, skills, abilities:
  • Competency with Microsoft Word, Microsoft Excel, Microsoft Outlook, and database software. Knowledge of
  • Charity Engine a plus.
  • Proficient at organizing and prioritizing multiple tasks, strong self-motivation, and independence in carrying out responsibilities, and meeting deadlines.
  • Ability to interact with the public in a positive manner and represent FBFH with professionalism
  • Must be able to always maintain confidentiality.
  • High level of attention to detail and accuracy.
  • Accuracy in working with both bio data and numbers.
  • Strong oral and written communication skills.
  • Comfort with data problem solving.
  • 10-key data entry a plus
  • Commitment to FBH’s mission and values.
Education and experience:
  • Associates degree required; Bachelor’s degree preferred.
  • One year or more of experience in charitable Gift Processing or database administration preferred.
  • Experience with donor software preferred.
  • Non-profit experience preferred.
Physical Demands
While performing the duties of this job, the employee is regularly required to sit; use hands to handle or feel; reach with hands and arms; use repetitive hand motion and talk or hear. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distant vision, depth perception, and the ability to adjust focus.

Work Environment
The employee typically works in an office environment and uses computer, telephone, and other office equipment as needed to perform duties.
