This position serves the University as the gift recorder as part of the University Advancement team and serves as the coordinator of the alumni database. This is a highly confidential position. Confidential material includes but is not limited to the database of alumni and development records, and development research files on individuals, corporations, and foundations. Essential Functions
- Records gift and pledge information, delivers checks and cash to the Cashier's Office, issues gift receipts, and prepares acknowledgments to donors daily. Circulates reports of weekly donations to Advancement staff as directed by the Associate Director of Advancement Services.
- Retrieves bio/contact updates on constituents from telemarketing software; enters pledges and gifts received through phonathon callers.
- Maintains demographic data on constituents in the CRM Advance system for the University received from multiple sources (acquired by University staff, self-reported, or through new articles and publications).
- Regularly creates and reads confidential correspondence relating to prospects and donors. Occasionally calls donors to clarify gift intentions. Responds to inquiries from donors as directed.
- Sorts mail daily for division.
- Records alumni class notes from news clippings and alumni self-reported information in CRM Advance.
- Assists Office of Constituent Engagement with event preparation related to data, including creating invitation lists and name tags.
- Work as a collaborative member of the Advancement team. Assist with special fundraising events and miscellaneous projects for the University Advancement Division, as required.
- Performs other duties as assigned within the scope, responsibility, and requirements of the job.

Education: Associate Degree
At least five years in a responsible clerical position. Exceptional organizational skills and attention to detail are critical. Developing reports, word processing (skilled at merge feature), and record keeping, along with general competency in Microsoft Office is necessary. Must have experience with a CRM or other relational database. Basic knowledge of accounting/bookkeeping/banking is preferred.
