Position summary

Berkeley Repertory Theatre (Berkeley Rep) has grown from a storefront stage to an international leader in innovative theatre. Known for its ambition, relevance, and excellence, as well as its adventurous audience, the nonprofit has provided a welcoming home for emerging and established artists since 1968. Over 5.5 million people have enjoyed nearly 500 shows at Berkeley Rep, which have gone on to win eight Tony Awards, nine Obie Awards, eleven Drama Desk Awards, one Grammy Award, one Pulitzer Prize, and many other honors.


Berkeley Rep seeks a highly motivated, welcoming, detail-oriented, and collaborative individual for the position of GalileoCOMPANY MANAGEMENT ASSISTANT, reporting to the company manager.?This is a 13-week position responsible for supporting the Berkeley Rep world premiere of Galileo, a new musical. This position will serve as a liaison between visiting artists, Berkeley Rep’s staff, and the Berkeley community. This person will foster a welcoming environment that is conducive to artists developing a world premiere musical. Producing a new musical can create a hectic, fast-paced, changeable environment, and we believe that responsiveness, creativity, and flexibility are paramount to engendering good art. Essential duties and responsibilities

Under the supervision of the company manager, support the COMPANY MANAGEMENT department in managing contracting, payroll, travel, housing, and hospitality needs for the Galileo cast and creative team. Such duties include:

  • Contracting and payroll
    • Process and track HR onboarding and payroll paperwork for AEA members, including swings and understudies.
    • Maintain contact information for agents, cast, and designers.
  • Travel and housing
    • Arrange artist travel — including flights to and from the Bay Area, local transportation to and from airports and between theatre campuses, and shipping of baggage — for guest artists including actors, directors, designers, playwrights, and music staff.
    • Update and distribute itineraries and orientation information to all artists.
    • Checking artists in and out of residences at the Berkeley Rep owned Medak Center apartments or the Residence Inn.
    • Arrange transportation for guest artists to medical and other appointments, or local errands as required.
    • Coordinate rehearsal van shuttle schedule in accordance with actor daily call. This includes occasionally shuttling artists in a 15-person passenger van from their housing to the rehearsal campus as needed.
    • Work with facilities and operations to schedule cleaning and maintenance as necessary for Medak Center apartments.
  • Hospitality
    • Arrange and manage meet and greets and other company events.
    • Manage company/house ticketing requests.
    • Coordinate weekly PT sessions for the Galileo company.
  • Contribute to a positive, inclusive, and rigorous work environment/culture.?Actively participate in trainings, including harassment prevention, anti-bias, and other antiracism, equity, diversity, inclusion, and access trainings.
  • Share on-call duty phone responsibilities with the COMPANY MANAGEMENT department.
  • Other duties as assigned.

This position works collaboratively with the company manager and COMPANY MANAGEMENT fellow, both part of a larger department that includes the general manager. The company and general management department works closely with the director of production, associate production manager, and production management fellow, as well as the artistic, finance, and operations departments. This position will attend weekly department meetings and will work inter-departmentally at Berkeley Rep.

  • A demonstrated ability to work collaboratively to fulfill project needs.
  • Excellent interpersonal and verbal communication skills, and comfort with representing the institution to outside constituencies.
  • Interest in and commitment to antiracism, equity, diversity, access, and inclusion and the representation of diverse voices onstage and in all areas of the company.
  • Sensitivity to the importance of maintaining open and responsive communications with guest artists.
  • Strong verbal and written communication skills.
  • The ability to work in a detail-oriented manner while remaining resourceful and flexible.
  • The ability to multi-task and re-prioritize responsibilities quickly, meet deadlines, and remain calm under pressure.
  • Creative problem-solving skills.
  • Excellent computer skills, including facility with Microsoft Word, Excel, and Outlook.
  • Valid driver’s license and comfort driving a 15-person passenger van.

The position requires in-person work, housing is not provided.
