Job description

Busy Family Practice + Medical Spa is seeking a FULL TIMECLIENT CONCIERGE receptionist, 8:30am-5:00pm M-F.

  • Have customer service experience, or experience working in a medical office or beauty industry.
  • Ability to gain a solid understanding of functional medicine and medical aesthetics is a must in order to assist clients.
  • Being able to manage schedules of multiple providers and become familiar with two software platforms is a must.
  • Have basic knowledge of Microsoft Word, Microsoft Excel, Gmail, Google Drive, Docs, Sheets.
  • Have basic knowledge of Apple computers, iPads, Scanning documents, multi-line phones, printers, fax machines.
  • Be able to multi-task. Handle phones while maintaining accurate client records, manage and understand two computer systems, all while keeping patient information private.
  • Be able to pass initial and random drug tests; marijuana is still a drug and is unacceptable.
  • No visible tattoos, no piercings, no unnatural/wacky hair dye or hairstyles.
  • No cigarette smoking before or during work hours. You will be sent home if you smell like smoke.
  • Personal grooming and self-care is of utmost importance. Leave personal problems at home, arrive at work well-rested, groomed and ready to go.

Daily duties include:

  • Arrive promptly at 8:30am. Turn on lights and music, unlock doors.
  • Check texts, voicemails and return calls.
  • Immediately greet patients with a smile and notify staff of their arrival.
  • Answer phones with a pleasant, professional tone of voice. Schedule patients by phone and in-person.
  • Assist clients with finding the right skincare, supplements and locking in appointments for both spa and medical services.
  • Transfer calls appropriately to various staff members (ie. prescription calls to med team, billing calls to billing dept, etc.)
  • Notify staff of schedule changes if late cancellation or walk-ins occur.
  • Provide patients with appropriate paperwork and direct them in completing digital forms, verify all information is accurate when checking in patients/clients (ie. spelling of first/last name, date of birth, phone number, address, emergency contact).
  • Use our software to appropriately collect client payments and schedule follow-up visits at every check-out. Ask if clients need assistance finding skincare and supplements at every checkout.
  • Scan daily superbills, EOBs and statements to appropriate inboxes as directed by our office manager.
  • Distribute mail to office manager.
  • Keep front desk and lobby organized: food must stay in the break room; keep paperwork tidy, frequently check lobby to ensure products and lobb furniture are in order.
  • Attend to end-of-day duties including: making sure lights are off, doors are locked, kitchen items are put away, set alarm.
