Position Summary

A student-centered, community and technical college located in the beautiful Northwoods of Wisconsin, Nicolet College is seeking a Support Specialist to join our Academic Services team. The Support Specialist provides administrative support and coordination for all teams under the supervision of the Associate Vice President (AVP) of Academic Services, in coordination with the Dean of Academic Support. This position is also responsible for serving and providing a variety of assistance to students, employees, members of the public, and other areas of the Academic Services team as needed. The specialist will perform a wide variety of duties, both collaboratively and independently, and may be asked to work occasional evenings and weekends to support the team or college events.

Primary Duties and Responsibilities

Front Line Student Academic Services Administrative Support

  • Assess student needs as the front line of Academic Success and Academic Student Support and connect them with resources accordingly.
  • Coordinate tutoring services.
  • Execute department services, exercising professional judgment when interacting with staff or students.
  • Serve as focal point for student information and facilitate access to college services. Provide information on program requirements/courses. Assist with follow-up for student retention.
  • Maintain strong working relationships with other front desk services personnel, and cross-train for student-facing Academic Services.
  • Assist in creating and maintaining an inclusive culture in which our diverse student populations feel a sense of belonging.
  • Academic Services Administrative Support
  • Support AVP of Academic Services in organizing projects, calendar, and communications.
  • Coordinate meetings and special events for the Academic Services team.
  • Assist Academic Services staff with and process purchase orders, payment authorizations, travel requests, and expense reimbursements.
  • Generate department reports using the College’s Enterprise Resource Planning and reporting systems.
  • Create high quality informational materials and presentations, collaborating with other departments as appropriate.
  • Monitor departmental and grant budgets.
  • Analyze processes across the team and recommend process improvements.
  • Maintain supply inventory including office supplies and instructional resources.
  • Academic Support Team
  • Support Dean of Academic Support and faculty in organizing and implementing educational programs and activities in the Academic Support area.
  • Coordinate and submit information for student registrations in ABE courses, JumpStart courses and create and submit class and tutoring sections.
  • Report and manage state and federal data related to WTCS client reporting and Pathway Bridge database (TABE scores, level gains, post-secondary transitions, integrated instruction, etc.) to ensure adherence to federal and state grant requirements and to maximize College performance related to outcomes-based funding.
  • Coordinate AEFLA grant and departmental purchases; coordinate purchases to receive maximum value for funds available.
  • Assist Academic Success lab students under the direction of instructors.
  • Provide support to Academic Success faculty delivering content in a variety of instructional modes.
  • Assist Dean of Academic Support with support for High School and ABE Instruction at outreach centers.
  • Attend WTCS ABE and other related professional development and informational meetings.
  • Coordinate Academic Success advisory committee meetings and GED/HSED Graduation.

  • Required Qualifications:
  • Associate degree
  • Minimum of two years of work experience in an office setting.
  • Previous experience and proficiency working with MS office applications at an intermediate level.

  • Preferred Qualifications:
  • Bachelor’s degree.
  • Experience working in a higher education setting.
  • Experience working with students and diverse populations.
  • Experience with grants and/or grant management.

  • The employee will frequently be required to touch/handle/grasp (using hands and fingers), and bend, stretch, reach (with hands and arms), and regularly lift up to 25 pounds of supplies, boxes, and equipment.
  • The employee will frequently be required to sit, talk, hear, and type/write.
  • Specific vision abilities required by this job include close, far, and field of vision.

    Compensation:
    The typical starting pay range for this position is $21.01- $26.86 per hour, commensurate with qualifications and experience. Includes a comprehensive benefits package.
