Position Summary
The Program Associate (PA) is a key full-time position that reports directly to the administrative unit head. The PA will manage program-related records and files, schedule meetings and events, coordinate data entry, monitor and track receipts for spending, purchase supplies, and provide office support to the program team. The Program Associate operates with the goal in mind that All Rural Students Succeed.
Primary Duties and Responsibilities

- Creates and maintains processes to manage all program files
- Provides general clerical support for activities such as correspondence, office supply orders, resource purchasing, travel arrangements and arranging for the pickup, sorting and delivery of mail for program
- Answers phone and route calls accordingly or answer questions as necessary
- Administers mailings to schools, parents, and program participants
- Maintains the programs SharePoint site for information sharing
- Maintains weekly schedules of staff
- Reviews purchase card reports and travel requests prior to Director approval including working with Finance department to make certain expenses are allowable, reasonable and necessary to meet the goals and objectives of the program
- Collaborates with the Director and Service Coordinators regarding grant management/development, and operational issues
- Run, review, and prepare various reports for the team
- Prepares for meetings including scheduling, refreshments and set up; sends agenda, minutes and handouts electronically to participants
- Reviews and refines departmental policies and procedures to ensure consistency
- Serves on Partners for Rural Impact committees and represents the program at meetings
- Provide building maintenance where applicable and ensure building is properly maintained
- Maintain inventory
- Perform other related duties
Position Location & Schedule
This role is remote. The selected candidate must reside in Perry, Breathitt, or Knott counties in Kentucky.
Normal business hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. ET. Because of the nature of the responsibility to schools, partners, funders, and to the service region, individual offices or departments may have operating hours that extend beyond this period and may include evening and/or weekend hours.
Minimum Qualifications
Education required to ensure success in this position:
- Associate’s degree required
Experience required to ensure success in this position:
- A minimum of three years’ experience working in the areas of business, grants development/management, higher education or related field required
- Three years’ administration experience in a professional office setting
Special skills, knowledge and abilities:
- Computer competency including data entry, word processing, familiarity with Microsoft Office products
License, certification, or registration necessary:
- Valid driver’s license
- Ability to successfully complete pre-employment background check
