MISSION

USTA Mid-Atlantic is seeking a full-time Adult League Coordinator to create, implement, and grow Adult Tennis League Programs for the following areas in Shenandoah & Loudoun, VA.

This position reports directly to the Sr. Manager of Adult Leagues (VA/WV) and works collaboratively with other team members and departments. The Adult League Coordinator will serve as a key member of the USTA Mid-Atlantic Programs & Services team to help grow the game of tennis and support the organization’s mission. 

RESPONSIBILITIES

 

League Program Administration

  • Develops, sets up, and schedules adult USTA Leagues for each season for assigned areas.
  • Builds relationships with new and existing facilities in the League area and collaborates with facility managers for League program needs. 
  • Recruits and trains local captains, players and volunteers.
  • Provides customer service for all local adult tennis Leagues by assisting facilities, players, captains, volunteers and teams. Answers calls, texts, and emails in a timely manner.
  • Identifies opportunities to create/facilitate new League offerings within the League area.
  • Identifies areas of improvement to current delivery of the League program within the area(s) through player & captain feedback and surveys.
  • Advises and maintains budgets by tracking and projecting monthly revenue and expenses and adhering to guidelines.
  • Monitors and tracks local participation and player & captain growth and retention, providing up-to-date accurate data. 

 

Education & Marketing

  • Promotes League programs in designated communities to ensure program development, growth, and success.
  • Facilitates and/or attends educational meetings and presents to potential players, community members, teaching professionals, facilities, and other tennis providers to promote the League program.
  • Facilitates and/or attends meetings or events related to USTA League play in the community.
  • Assists Adult Team with education and initiatives around player retention and captain recognition, to include creating and/or leading webinars, how to videos, newsletters, etc.
  • Markets and recruits teams for upcoming seasons and collaborates with the marketing team on League marketing efforts.
  • Provides program communication to volunteers, facilities captains, and players.
  • Provide weekly updates for League Calendar and Captains Corner webpage.

 

Onsite Event Management

  • Act as Tournament Director and/or Tournament Manager at assigned League Championships, up to 4 - 6 weekends per year to include but not limited to:
    • Physical set-up of site(s): 
      • Locate/organize supplies - tournament box, tables, tents, balls, etc.
      • Hang banners, organize captains/players gifts
    • Manage Digital Tournament Desk
      • Send Lineup cards
      • Validate submitted lineups
      • Send reminders, notices & court assignments
      • Send event survey
    • Set-up, resolve and communicate with advancing teams in regards to Semis & Finals and in TennisLink (as needed)
    • Communicate and resolve challenges with facility, Officials and players/captains
    • Monitor and respond to emails in Tournament Hotline & League Championships account
    • Mark advancing teams in the Team Certification Sheet (Teams)
    • Enlist Championship Committee, if needed
    • Monitor weather along with Official and communicate adjustments
    • Presents awards to event champions and finalists.

MINIMUM QUALIFICATIONS: 

  • Highschool diploma or equivalent required. 
  • 1 - 2 years of program management experience required.
  • 1 - 2 years of customer service experience required, preferably in a fast-paced team-oriented environment.
  • 1 - 2 years of related nonprofit, industry or recreation/sports management preferred.
  • Proficient with Google Suite, to include G-Mail, Google Sheets, Google Docs, Google Slides, Google Drive preferred.
  • Experience with program management or registration software preferred.
  • Must possess and maintain a valid driver license and a record that meets our company’s insurance standards.
  • Should be able to travel frequently within the assigned area and have reliable transportation.
  • Must be able to professionally handle sensitive information and maintain confidentiality. 
  • Must be able to learn quickly and handle multiple, concurrent tasks and assignments in an effective manner. 
  • Physical Requirements of the Job: Spend frequent time making repetitive motions; spend frequent time sitting, standing and walking; spend frequent time using your hands to handle, reach, control, or feel objects, tools, or controls. Lifting up to 25lbs with or without assistance.

Adult League Coordinator (VA/WV) FAQs

  • Who will the Adult League Coordinator be working with? The Adult League Coordinator (VA/WV) will be reporting to Eva Webster, Sr. Manager of USTA Adult Leagues (VA/WV). This position will work closely with other members of the Adult League Team as well as other departments such as Marketing & Communications.
  • Is your team currently remote? Will this stay remote long term? We do have an office in Herndon VA; however, we are operating remotely for the most part. This role can be based anywhere in the Mid-Atlantic region of MD, DC, VA & WV area. This person would need to travel for the job as follows:
    • To meet facility managers and do facility visits in the area of responsibility.
    • To host League Captain meetings for each league in the assigned area of responsibility.
    • To travel to manage onsite championship events 4-6 times a year (this would normally be for four days - Thursday, Friday, Saturday, and Sunday). 
    • To attend sectional or national meetings/conferences/workshops as needed. 
    • This person will need to attend all staff meetings in the Herndon, VA office or offsite location as required. We have three staff meetings a year.

  • What does the hiring process consist of? The first step is to APPLY!

    • Phone Interviews will be scheduled with the HR Department. Phone interviews are typically 30-45 minutes.
    • Second Interviews will be scheduled with the Sr. Manager of Adult Leagues (VA/WV) and the Director of Adult Leagues, if selected based on the phone interview. This interview is typically 1 hour in length.
    • Final Interviews may be scheduled with the CEO, Sr. Director, Programs & Services and HR Manager for final selection. This interview is typically 30 minutes in length.
    • Final Offer will be made by HR. If an offer is accepted, new hire paperwork and background check instructions will be sent electronically to the candidate for completion. Start date will be determined by mutual agreement and orientation will be scheduled once background check results are received.
    • Expected Start Date: This entire process from the date the posting ends to date an offer is made can take up to 3 – 6 weeks. Expected start date is Monday, January 1st, 2023.
  • How much does this position pay? How many hours is considered FT?  This position is non-exempt and paid between $26.00 to $28.00 per hour. Compensation is commensurate with experience. Bonus eligibility is determined annually. Full-time employees regularly work 35 hours per week. May be weeks where up to 40 hours are necessary to complete job duties.
