Description

 

                  Front Office Supervisor – Physical Therapy Specialty Center (PTSC)

Job Summary:

 

The Front Office Supervisor oversees 2 individuals.  The Front Office Supervisor also has secondary responsibilities as a Receptionist.  

 

Duties/Responsibilities:

 

            Front Office Supervisor

 

  • Oversee front staff personnel. Up to, but not limited to 4.
  • Develops and Implements protocols and office work flow. SOP follow through
  • Write and manage monthly Front Office staff schedules for PTSC
  • Manage/approve Time Clock Program for Front Office staff
  • Manage Front Office budget needs – manager approve expenditures
  • Interview and hire for Front Office Staff at PTSC
  • Write and participate in delivery of Employee evaluations
  • Participate in employee disciplinary action
  • Schedule, prepare agendas and run Front Office meetings
  • Handle patient complaints
  • Be available to answer scheduling questions
  • Manage schedule / schedulers to maximize patient treatment opportunities
  • Monthly statistical and financial information for PCP Management Team, Division Manager and Physical Therapy Operations Supervisor as requested
  • Must be able to perform all Phone, Greet and Cashier duties
  • Assist Division Manager
  • Authorizations for insurance for rehabilitation care
  • Invoicing JDA and medical records
  • Meeting coordinator. Booking of Conference rooms
  • Assist in creating support flyers, pamphlets, marketing materials, etc.
  • Front office supply ordering
  • Submitting/assisting billing office in provider disputes for unpaid/denied claims
  • Lead for new insurance website/portal trainings
  • FMH Portal contact person
  • Additional duties as assigned
  • Continuing education, webinars, research, billing/coding, etc.. 

 

 

            Receptionist Duties

 

  • Serve as office receptionist as needed for PTSC    

 

            Check-In

 

  • Greet and register incoming patients
  • Communicate with the billing office regarding patient insurance changes
  • Keep patient informed of waiting times
  • Notify back office staff of patient's arrival
  • Distribute and ensure completion of patient paperwork

 

            Check-Out

 

  • Collect payments and co pays
  • Direct patients with billing issues to the patient advocate
  • Communicate with the billing department
  • Schedule follow-up appointments
  • Provide other needed assistance to patients

 

            Telephone Calls

 

  • Answer telephone calls, take messages or direct call to appropriate person
  • Make appointments
  • Courtesy Reminder calls patient appointments
  • Communication with Lawyer’s offices, insurances, third party companies, motor vehicle insurances, and other departments within PCP,

              

            Additional Duties

 

  • Assist Division Manager when needed
  • As assigned
  • Prior- Auths
  • Medical record duties. Releases, invoicing, etc.
  • Note documentation completion tracking
  • MED CERT tracking
  • Insurance coverage verification
  • Workers Comp Special billing tracking
  • KX Modifier tracking  
  • Various data collection – referrals, authorizations, Provider caseloads and others as requested

 

 

 

 

Experience:

 

Minimum one year of medical office experience required; Prefer prior supervisory experience; Knowledge of medical terminology preferred; computer experience and skill is required; must be able to communicate effectively and demonstrate courteous and cooperative behavior with staff, peers, patients, and the public.  Be able to complete workload accurately within assigned deadlines; must be friendly and have positive interpersonal skills.
