The Front Office Specialist is responsible for ensuring that patients are greeted, scheduled, that all demographic and financial information is obtained and in general oversees day to day functions of the Front Office.
ESSENTIAL FUNCTIONS
Greets patient and patient’s family promptly and professionally
Ensures patients are registered and triaged in accordance with policy
Ensures patient demographic and insurance data is collected and entered correctly
Prepares day sheet and balances cash drawer each day
Ensures calls are made with regard to patient referrals for continued care
Schedules patient appointments accordingly
Responds easily to routine requests for information
Reviews schedules to fit each individual doctors scheduling preference
Maintain patient confidentiality
Communicates with compliance officer regarding procedural changes and concerns
Maintain HIPPAA compliance
Ensures charts are pulled and prepared for following day
Monitor waiting area
Oversight of medical records
Assist with training of Front Office personnel
Keep Supervisor informed
Ensure files are filed in a timely manner
Monitor fax and incoming mail
Works on patient information in both Allscripts PM and EHR systems
Ensure daily morning tasks are completed
- Coffee, doors, mail, money, and charts
Ensures evening tasks are completed
- File door locked
- Money in safe
- Desks area is organized
Listen to others and discuss concerns with Supervisor
Cooperates and communicates professionally with all staff members and physicians
Cooperates and communicates professionally with all departments
Assist satellite office staff
Maintain supplies
Participates in professional development efforts to remain current on insurance coverage, Meaningful Use policies and EHR changes
Other duties as assigned

WORK ENVIRONMENT
The Front Office Specialist will work primarily in an office setting; minimal travel to satellite locations and outside meetings (see TRAVEL).
