Job description

Summary
This position, funded 80% through the General Fund and 20% through Title I Federal Funds, the Receptionist (Main Office and Federal Programs) serves all clerical, secretarial, and other supportive duties at the front desk of the central office. He or she will also support other clerical needs of the supervisor within the main office, that includes, but is not limited to: Superintendent of Schools, Supervisor of Child Welfare and Attendance-Transportation Liaison, Supervisor of Information Management, Technology Services, and the Arts, Director of Instruction (Elementary), Director of Instruction (Secondary), and City of Baker School Board, while simultaneously assisting the Supervisor of Federal Programs with Title I parental involvement and homeless duties.
Essential Duties and Responsibilities
Essential duties and responsibilities include the following:
Main Office
  • Reads and routes incoming mail and prepares outgoing mail
  • Attaches files to the appropriate correspondence
  • Files appropriate documents, correspondence, and other records
  • Answers telephones, records messages, routes calls as needed to appropriate staff
  • Greets visitors, ascertains the appropriate nature of business in order to guide visitors to appropriate staff members
  • Makes copies of correspondence and other printed material as needed
  • Maintains calendars
  • Collects and maintains records and correspondences for meetings and conferences, and stores these documents in the appropriate manner and appropriate storage facility
  • Takes dictation and types documents and reports as requested
  • Collects and maintains records of funds
  • Prepares supply requisitions and purchase orders as needed
  • Exhibits the ability to handle confidential information and conversations discreetly and professionally.
  • Exercises appropriate office etiquette, manners, and professionalism.
  • Performs all other duties deemed necessary by his or her supervisor.

Education and/or Experience
The Receptionist (Main Office and Federal Programs) should possess at least a high school diploma and/or have at least two years of job-related experience; however, a combination of the education and experience can be configured.
Related skills
The Receptionist (Main Office and Federal Programs) has the ability to 1) operate a microcomputer and/or online connected mainframe terminal, 2) use Microsoft Word and Excel or other spreadsheet and word processing software, 3) communicate effectively with vendors and school employees in resolving payroll-related problems, 4) type at a minimum of 45 correct words per minute, 5) operate office machines such as a keyboard, calculator, copier, telephone, and fax machine, and 6) comprehend and retain procedures and information to cope with numerous telephone calls and interruptions without loss of concentration.

The work environment characteristics described here are representative of those the Receptionist (Main Office and Federal Programs) encounters while performing the essential functions of this job. Work day length consists of the hours at the assigned work site according to City of Baker School Board policy. COMMUNICATION SKILLS
The Receptionist (Main Office and Federal Programs) must be able to 1) effectively communicate in standard English both orally and in writing conforming to prescribed styles and formats, 2) read, analyze, and interpret journals, financial reports, and legal documents, 3) respond to inquiries and complaints, 4) effectively assists supervisors who must present information to top management, public groups, and the City of Baker School Board, 5) have the ability to accurately give and receive information via telecommunication system and other appropriate media, and 6) be able to communicate successfully with students, parents/caregivers, school personnel, and the community.
EQUIPMENT USED
The Receptionist (Main Office and Federal Programs) should be able to use telephones, audio-visual equipment, computers, copy machines, and other appropriate machines.
PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met by the Receptionist (Main Office and Federal Programs) to successfully perform the essential functions of this job. The Receptionist (Main Office and Federal Programs) should possess the physical stamina and emotional stability to work effectively under pressure and to keep all aspects of the job under control. While performing the duties of this job, the Receptionist (Main Office and Federal Programs) is frequently required to sit or to stand for long periods of time. The Receptionist (Main Office and Federal Programs) must be able to stand, walk, reach, and bend. The Receptionist (Main Office and Federal Programs) must occasionally lift or move light weight up to twenty (20) pounds with assistance as required. The Receptionist (Main Office and Federal Programs) must have sufficient visual acuity to be able to work with computer monitor, print texts, and hand written documents.
MENTAL INVOLVEMENT
The Receptionist (Main Office and Federal Programs) must possess sufficient interpersonal skills to function compatibly with others. The Receptionist (Main Office and Federal Programs) must respond positively to supervision and to accept suggestions for improvement.
REASONING ABILITY
The Receptionist (Main Office and Federal Programs) must have the ability to 1) define problems, collect data, establish facts, and draw valid conclusions, and 2) interpret an extensive variety of technical instructions and deal with abstract and concrete variables.
HUMAN RELATIONS INVOLVEMENT
The Receptionist (Main Office and Federal Programs) must be able to 1) work cooperatively with students, parents/caregivers, school personnel, and the community, 2) respond appropriately to supervision and accept commendations and recommendations, 3) demonstrate sensitivity/understanding and interpersonal relations with persons of diverse culture and backgrounds, and 4) work tactfully and harmoniously with schools, staff, agencies, vendors, and the public.

The Receptionist (Main Office and Federal Programs) acknowledges that he or she is required to maintain a high standard of professional conduct. Breach of said professional conduct includes but is not limited to: neglect of duty, dishonesty, and engagement in acts that are contrary to City of Baker School Board policy, unlawful activities, or any other conduct which is seriously prejudicial to the school system. In terms of professional traits, the Receptionist (Main Office and Federal Programs) is poised, self-confident, enthusiastic, optimistic, punctual, dependable, unbiased, fair, flexible, and articulate, writes effectively, handles confidential information discreetly, attends work regularly, dresses and behaves professionally, presents accurate and timely records and appropriate documents.
