Carnegie Mellon University's School of Drama is seeking a Financial Associate to oversee and coordinate the processing of accounting transactions and be responsible for a particular aspect of the accounts. This position is part of a fast-paced business office within the School of Drama. In this role you may be asked to produce checks, generate and distribute accounting reports, process payments, assist in reconciling purchases or assist the business manager by monitoring the expenditures and processing of transactions. This role will support and facilitate student worker hiring. The Financial Associate will also provide general office support: purchasing supplies, booking travel, and handling general inquiries to the Business Office.
Your core responsibilities will include:
- Coordinating and reconciling budget expenditures; reviewing and processing purchase orders; determining proper Oracle information to be charged; reviewing, monitoring and analyzing monthly financial statements or expense reports; processing journal entries, reimbursements, authorizing payments of invoices; managing petty cash account; making deposits, etc.
- Advising others in resolving vendor and/or department questions, concerns and issues.
- Handling special or difficult transactions, including special requests for payments, foreign wire transfers, cutting of checks, check cancellations and reissues; creating and distribution of accounting reports, etc.
- Facilitating and organizing student worker hiring.
- Performing miscellaneous office duties such as answering telephones, making copies, record-keeping, opening and date stamping mail, stuffing envelopes, collating and organizing materials and booking travel for staff and guests.
- Working with other support staff and work-study employees. Is responsible for ensuring that all work is performed accurately and in a timely fashion, checks on progress and approves finished work. Trains new or temporary employees in office systems and processes.
- Directly handling difficult issues. Also instructs other departmental staff concerning proper procedures or payment processing.

Qualifications:
- Education: High School diploma or GED required; Associates degree or Bachelor's degree preferred
- Years of experience: 3-5 years' work experience, specifically experience in administrative support, data entry, accounts payable, bookkeeping, and reporting
- A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.
