Position Summary:
We have an exciting opportunity to join our team as a Financial Analyst-Billing & A/R.
In this role, the successful candidate Under the supervision and guidance of the Finance Project Manager, the Financial Analyst for Accounts Receivable (AR) serves as a member of the AR and Billing team and is responsible for the day-to-day post-award cash application management for grants and contracts between NYUSOM and sponsors. Responsibilities include, but are not limited to:
Job Responsibilities:
Position Specific:
      • Completes accurate and timely cash application of cost reimbursable payments in adherence to the contractual terms of the executed agreement
      • Completes accurate and timely refunds to sponsors as needed, setting sponsors up in PaymentWorks for refund processing, communicating to appropriate stakeholders to link customer numbers to vendor numbers internally, and requesting sponsors to upload current W-9 forms to PaymentWorks
      • Utilizes available system hardware/software for payment identification, correction and analysis, and reports deficiencies and opportunities to management
      • Resolve open on account items, identifying solutions and communicating timely and effectively in order to clear the open item in a timely manner
      • Assists with identifying unknown received payments, contacting sponsors and internal stakeholders to identify payments in a timely manner
      • Assists with confirming total cash on individual awards as requested by departments and other internal teams, providing total amounts as well as backup documentation as needed
      • Processing journal entries for non-grant management (GM) payments, communicating with appropriate stakeholders to obtain necessary information, and writing off open on account item as non-GM
      • Maintains AR transactions in PeopleSoft representing Family Health Center (FHC) activity on a monthly basis
      • Assists AR team with award closeouts, resolving open issues and closing projects on a timely basis for a designated portfolio
      • Develops and delivers presentations and recommendations to process improvements to help guide effective and efficient decision making
      • Participates in upgrades and testing of new system functionality, and other special projects as assigned
      • Responds timely to ad hoc analyses and requests from management

Planning, Organizing, Collaborating and Decision Making
      • Build and maintain good working relationships with all internal and external stakeholders
      • Effectively communicates with all stakeholders to meet deliverable deadlines by providing accurate and timely information
      • Collaborates closely with the Billing, Data Management and MCIT teams to ensure clear and consistent communication, process optimization and efficiency and invoice accuracy are successfully achieved on a continuous basis
      • Collaborates closely with Washington Square (WSQ), Research Data Management (RDM), Data Management, Medical Center Information Technology (MCIT), to ensure clear and consistentcommunication, process optimization and efficiency and invoice accuracy are successfully achieved on a continuous basis
      • Develops a working relationship with other NYU Langone Health/NYU Grossman School of Medicine departments (OSR Post-Award, General Accounting, Treasury, & non-financial departments) to research any unreconciled and/or unapplied payments
      • Performs within plan, established priorities and across multiple functional areas
      • Exercises initiative and sound judgment in performance, and escalates issues appropriately
      • Contributes meaningfully to developing solutions and independently completes assigned work in a timely manner
      • Produces deliverables in an accurate and timely manner
      • Utilizes time efficiently
      • Prepares in advance for meetings, preparing an agenda and maintaining notes on action items
      • Contributes to team effort by cross-training colleagues to prevent work interruptions in the event of an absence

Monitoring, Quality Control, Reporting and Record Keeping
      • Maintains clear and concise grant reconciliation records which accurately outline payment records of all cash application/outstanding items activity and follows up on outstanding receivables for portfolio
      • Ensures that accurate and appropriate supporting documentation is provided for any specific AR-related reporting requirement necessary in order to process payments or refunds
      • Maintains quality of all shared drive files and access

Quality Control (Improving Business Processes)
      • Practices continuous self-improvement
      • Identifies areas of improvement for AR and provides recommendations to RFO management to help guide effective and efficient decision making
      • Assists in the development and monitoring of Billing standard operating procedures related to AR processes and key controls
      • Manages and resolves process and system issues
        • Determines root cause and preforms analysis when appropriate
        • Works closely with RFO colleagues and management to resolve issues in a timely manner

Communications
      • Communicates effectively with staff, peers, senior management and faculty
      • Maintains excellent communication with RFO colleagues, staff from other internal departments, and staff from external entities
      • Facilitates communications with clients and other departments within NYU Langone Health to resolve non-payment issues on customer accounts
      • Develops and delivers work-related presentations to RFO Finance and other Internal teams
      • Positively represents the Institution when dealing with other internal departments, and staff from external entities

Minimum Qualifications:
To qualify you must have a Bachelors degree and 1-3 years relevant work experience or an equivalent combination.
Superior communication skills, both written and verbal.
Possess strong customer service and problem solving skill sets.
Preferred Qualifications:
Must have proficiency with Microsoft Office Suite, including Word, PowerPoint and Outlook, with an advanced level of skillset in Excel
Must be technologically savvy, including:
o Knowing how and when to obtain information via searching the Internet
o Learning new online systems quickly
Experience with PeopleSoft Financials
Financial experience with grants and/or sponsored awards
Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $58,500.00 - $65,000.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
