Financial Aid Manager, Return of Title IV (R2T4)

The Return of Title IV (R2T4) Manager is responsible for leading and growing a team of Return of Title IV (R2T4) Specialists while also serving as a working manager to process refund calculations. The role models and maintains compliance with Financial Aid operation and maintains program integrity of all Financial Aid programs.
Responsibilities:
Management and Supervision - 70%
- Build and develop the Return of Title IV (R2T4) Specialist’s technical and soft skills through both regular and one-on-one team meetings while providing training and guidance specific to team members’ goals.
- Provide regular and substantive feedback on employee performance and set goals and facilitate avenues for completion.
- Oversee and support all workflow related to Return of Title IV (R2T4) calculations.
- Ensure controls are in place for all components of the R2T4 process to ensure the entire process and all subsequent actions occur in a timely manner.
- Serve as a working manager and assists team to reach the goals of the department, when needed.
- Ability to work in an environment with operational and regulatory changes.
- Use of critical thinking skills to identify issues and potential solutions, while tracking towards resolution

- Handling of adverse or stressful situations through use of effective conflict resolution skills.
- Maintain timely knowledge of regulatory changes within Finance and Financial Aid to ensure compliance with Department of Education regulations and best practices by participating in educational opportunities, reading professional publications, and participating in professional organizations.
Return of Title IV (R2T4)- 25%
- Accurate and timely completion of refunds within 45 days to meet all U.S. Department of Education regulations including tracking and processing all information, paperwork, determining eligibility and preparing Financial Aid refund documentation.
- Follows Financial Aid policies as directed, ensuring compliance to state and federal regulations, audit requirements and University policies.
- Identify and prepare federal R2T4 (Return to Title IV) and institutional tuition adjustments based on the information provided from the Student Records department.
- Proactively communicate workflow trends to leadership.
- Follows processes and procedures that streamline the student withdrawal process.
- Tracks post-withdrawal disbursements to ensure they pay accurately and timely.
- Maintains minimum weekly refund processing and compliance goals.
- Maintains knowledge of Federal Title IV awarding and disbursing regulations as well as University initiatives and workflows that impact
- Adequately communicates necessary funding returns to ensure timely bank transfer activity.
- Supports reconciliation tasks as necessary to include G5/COD/student ledger research.
Other - 5%
- Lead, participate, and attend team and department meetings for the purpose of sharing and obtaining information.
- Participate in strategic planning activities.

Reporting Relationship:
The Return of Title IV (R2T4) Manager reports directly to the Assistant Vice President of Student Financial Aid. The role manages, supervises, and directs the work of several Return of Title IV (R2T4) Specialists.
Position Requirements:
- Minimum of one year of prior management and/or combination of “lead” responsibility of direct
reports preferred.
- Three to five years of experience, with increasing responsibilities, in Financial Aid &/or Return of Title IV with a strong command of federal Financial Aid and Return of Title IV regulations and compliance requirements.
- Results oriented, motivational approach that embraces and drives change in a fast-paced environment while ensuring deadlines are met.
- Experience with coaching and leadership regarding employee performance, goal setting, and planning. Actively developing employees through transference of skills and organizational learning to others appropriately, initiating new approaches and solutions to challenges.
- Developing, implementing, evaluating, and adjusting plans to reach employee, department, and organizational goals.
- Excellent oral and written communication skills.
- Experience with Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to develop diverse and successful teams, think strategically, and provide thoughtful leadership.
- Ability to understand and implement policies and procedures.
- Proven ability to foster positive, collaborative, solutions-oriented teamwork.
- Strong command of the English language, both oral and in writing.
- High degree of independence within agreed policies and regulations.
- Excellent organization and time management skills with ability to prioritize and work with minimal supervision.

- High level of professional ethics and etiquette.
