Summary

Reporting to the Chief of Staff (COS), the Finance Manager will provide leadership through financial planning and analysis and will oversee the accounting functions and bookkeeping. Critical to the success of Right To Be, the Finance Manager is responsible for the day-to-day operation and maintenance of the financial records ensuring the accuracy of all financial transactions and often serving as a representative for the organization’s finance-related matters with clients, partners, and other stakeholders.

The Finance Manager will have a non-profit finance background, and will have proven success in government grant tracking . They are organized and have a versatile skill set to support Right To Be with various business functions with a diverse range of tasks. The Finance Manager should have good communication skills (written and verbal) and be a process thinker with a critical attention to detail. This is an exempt position with no supervisory responsibilities.

Responsibilities

  • Manage financial aspect of all grants including submitting financial grant reports, project/ program tracking, requesting reimbursement for spend first grants, tracking actuals against anticipated spend and attending necessary trainings/ conferences for Government grants
  • Work with organizational leadership to manage effectively with the budget including:
  • Develop department budget tracking systems and support directors in tracking against said budgets
  • Assess risks with budget achievement making suggestions to keep the organization in-line with budget
  • Manage organizational cash flow and forecasting.
  • Calculate invoices based on current number of accounts, assets-under-management, and pass-through payments to 3rd party services. Send invoices in advance to clients.
  • Support the annual audit process including liaising with external auditors; suggest any changes necessary.
  • Support COS with annual budgeting process
  • Collate financial reporting materials for all donor segments
  • Monitor Finance Inbox and respond to all requests.
  • Update and implement all necessary business policies and accounting practices; improve the finance department’s overall policy and procedure manual.
  • Implement a robust contracts management and financial management/ reporting system; ensure that the contract billing and collection schedule is adhered to and that financial data and cash flow are steady and support operational requirements.
  • Develop the necessary systems, processes, and tools to better support the facilitation, data collection, and analysis of the organization's finances and projections.
  • Reconciliation: Reconcile our accounting software with our CRM software monthly to ensure all invoices have been sent.
  • Credit Cards. Track all credit card expenses for payment and confirm appropriate documentation is provided.
  • Accounts Receivables: Invoicing and collections
  • Accounts Payables: Vendor Onboarding and Processing of all payables
  • Credit card management - Send monthly credit card detail to employees to code and collect receipts as required by our auditors. Post transactions to correct General Ledger accounts.
  • Manage records of financial transactions and ensure legal requirements compliance
  • Process all incoming vendor invoices, code invoices accurately to the General Ledger, produce regular reports for the Chief of Staff
  • Maintain internal and external department email(s)
  • Maintain financial technology systems (including QuickBooks) conducting monthly reconciliations and ensuring the accuracy of data.
  • Regularly review compliance and reporting related to payroll, tax filing(s) and W-2/1099 reporting, in partnership with HR & OPS
  • Other duties as assigned by your manager or the Executive Team

Qualifications (candidates who do not meet every qualification are still encouraged to apply)

  • Minimum of a BA in finance or accounting or a related field
  • At least five years of broad financial and operations management experience
  • At least two years experience with QuickBooks Online or Desktop
  • Advanced knowledge of generally accepted accounting principles and practices
  • Experience with Non profit and Accrual accounting
  • Ability to inform on financial concepts and to effectively collaborate with colleagues and organizational leaders who do not have finance backgrounds
  • A track record in grants management
  • Experience working within various accounting software
  • A successful track record in setting priorities; keen analytic, organization and problem solving skills which support and enable sound decision making
  • Excellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders
  • A multitasker with the ability to wear many hats in a fast-paced environment
  • The ideal candidate has experience of final responsibility for the quality and content of all financial data, reporting and audit coordination for either a division or significant program area

The compensation for this role is $89,086 annually.
