Job Description

The Administrative Assistant will provideadministrative, and clerical assistance to the Operations department by performing the following essential functions:

  • Provides administrative support to ensure efficient operation of Business Services office by answering and directing phone calls and assisting general public.
  • Exhibits polite and professional communication via phone, e-mail, mail, and in-person.
  • Provides information by answering questions and requests from internal and external sources.
  • Supports team by performing tasks related to the organization in a confidential and professional manner.
  • Type a variety of documents including correspondence, reports, memos, letters, notices, forms, etc.
  • Maintain and update information via data entry in various manual and computerized files, records, and logs. Organize files for easy retrieval.
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
  • Receive deliveries; sort and distribute incoming and outgoing mail.
  • Receive, process, and reconcile invoices and purchase orders.
  • Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
  • May maintain calendar and schedule of activities, meetings, and various events. Set up meetings and appointments.
  • Make travel arrangements for senior staff, such as booking flights, cars, and hotel or restaurant reservations.
  • Perform other duties as assigned.

Qualifications
  • High school diploma required. Associate's degree in Business Administration preferred.
  • 2-3 years of clerical, secretarial, or office experience.
  • Proficiency in Microsoft Office Suite required.
  • Must possess strong verbal and written communication skills and attention to detail, as well as be comfortable with routinely shifting demands. 
  • Must hold valid driver's license and have reliable personal transportation for travel between worksites.  Position will be responsible for making frequent rounds from Goodwill offices on Virginia St. to Goodwill offices on Capitol St. in Charleston, WV.

Additional Information
  • Full-time position.
  • Position may work outside of normal business hours.  Shift may begin as early as 7:00 am. 
  • Beginning rate of pay is $15.51 per hour.
