Field Operation Scheduler
Job Summary:
This job involves the many duties and responsibilities that are outlined in the section below. The person in this role must have excellent organizational and time-management skills, the ability to manage competing priorities, and calmness under pressure. They must also be a strong communicator who is able to confidently and effectively collaborate with our technicians and our customers to ensure tasks are completed on time.
Major Duties and Responsibilities
- Plan, schedule and coordinate installation, service, and maintenance appointments for technicians.
- Effectively communicate with customers and technicians to ensure that everyone is on the same page regarding the schedule.
- Evaluate geographic location of appointments and approximate appointment duration to ensure that jobs are scheduled in the most efficient manner possible.
- Be courteous and professional when communicating with employees and customers.
- Receive email and or mail reminders to customers or clients when appropriate.
- Process payments that come into the office.
- Call customers to confirm appointments.
- Assist in ordering parts for service and repair.
- Apply for permits in a timely manner to ensure installations are not delayed due to waiting for a permit.
- Proactively email and call customers asking them to renew their maintenance contract.
- Enter and maintain all applicable information for new installation, service, and maintenance into company’s field service software system.
- Proactively call contractors to ensure that they will be ready for the installation.
- Promote and sell service contracts to customers via phone and email conversations.
- Create purchase orders when necessary.
- Receive all shipments into customer’s system.
- Forward all invoices to appropriate person for payment.
- Maintain a clean and organized office area.
- Provide customer feedback to Sales Manager in timely fashion.
- Support Continuous Improvement (CI) as requested for key direct business processes.
- Conducts self and executes all responsibilities in a professional and effective manner consistent with Company Core Values.
- Performs other related duties as assigned by management.
- Follow pricing policies / requirements for all invoicing.
Qualifications:
- Excellent verbal and written communications skills.
- Strong computer skills, including MS office.
- Prior scheduling / service coordinator experience.
- Ambitious, well organized, and highly motivated.
- Strong interpersonal skills.
- Versatility, flexibility, and willingness to work within constantly changing priorities with enthusiasm.
Education and Experience:
- Minimum 2 years ‘experience scheduling.
Job Type: Full-time
Pay: From $20.00 per hour
Expected hours: 40 per week
