POSITION OVERVIEW

The Festival Coordinator, Individual Giving, is charged with administrative and logistical duties to support the Individual Giving team with the stewardship of individual donors, which includes Membership, Sundance Circle patrons, and major donors. Festival Coordinator, Individual Giving, plays a key role in sustaining an excellent patron experience for Sundance Institute donors who support the vital work of the Institutes mission.

Working closely under the Assistant Director, Individual Giving, the position of Festival Coordinator, Individual Giving, supports Sundance Institutes commitment to providing customer support to our dedicated community of individual donors in the lead-up to and during the 2024 Sundance Film Festival. The Individual Giving team is tasked with fundraising for the organization as well as ensuring an outstanding experience at the Festival for our donors.

This temporary position works full time from Monday, December 4, 2023 through Friday, February 9, 2024 and will be required to work extended hours, including mornings, evenings, and weekends at key points leading up to and during the Festival. This position is based out of our Park City, Utah office and may be expected to perform onsite work duties as of Tuesday, January 16, 2024. Employees may start in a commutable distance to Park City, UT or remotely from a state we currently legally operate in, until the required onsite work date listed above.

Top priorities include but are not limited to

  • Maintaining and updating department tracking documents for all Sundance Circle and major donors attending Festival screenings and events, including ticketing, RSVPs, emails, and other logistics as needed.

  • Answering the Individual Giving phone line and responding to email inquiries from members, Sundance Circle, and major donors in a timely manner; providing excellent verbal and written customer support to our donors.

  • Coordinating and supporting Individual Giving Relationship Managers with ticketing and package fulfillment deadlines for Sundance Circle supporters and major donors for the Festival.

  • Preparing and distributing Festival itineraries for high-level major donor accounts.

  • Providing accurate and detailed record keeping of all account activity for all Sundance Circle supporters and major donors files; including ticketing, events, benefit fulfillment, and recognition.

  • Assisting with providing Festival information, ticketing info, receipts, acknowledgment of benefits received, and other Festival donor communications, as directed.

  • Preparing documents and conducting Festival outreach mailings and/or emails as requested.

  • Preparing a written wrap report detailing each major donors activities, with account outcomes and recommendations for future Festivals.

  • Supporting the Individual Giving team with other administrative tasks and projects.

You have the following direct or transferable skill sets:

  • Legal authorization to work in the United States.

  • 2 years experience in nonprofit fundraising, arts administration, film festivals, or related experience.

  • Outstanding verbal, written, and interpersonal communication skills to work effectively with a variety of people.

  • Excellent organizational skills including ability to prioritize.

  • Ability to maintain confidential information.

  • Able to mitigate conflict and facilitate positive customer relations.

  • Working knowledge of databases along with proficiency in Google Products; proficiency in NetSuite and Eventive is not required but helpful.

  • Experience proofreading print and electronic signage copy as well as letter/email copy.
