Department PATHOLOGY AND LABORATORY MED (IN-PATH-IUINA) Job Summary The Pathology Fellowship Coordinator and Medical Education Coordinator works closely with fellowship program directors, department education leadership and other pathology education faculty and coordinators to ensure the operational success of pathology and laboratory medicine education programs. Department-Specific Responsibilities Coordinates all aspects of assigned fellowship programs. Understands policies and procedures for fellowship programs.

Receives, evaluates, implements, and communicates all new regulatory guidelines from ACGME and the IUSM GME Office. Conducts orientation for new fellows and serves as contact for any onboarding needs. Participates in the ACGME and IUSM GME process for expansion and growth of IUSM Pathology Fellowship Programs.

Assists with the implementation of newly approved fellowship programs. Responsible for scheduling and supporting clinical competency meetings and maintains program and fellow performance evaluations Ensures program compliance with all ACGME standards and regulations and program compliance with the University and GME policies and procedures. Stays current, participates in national committees for residency and fellowship coordinators, including national listservs for pooling and sharing of job specific topics.

Maintains a calendar of annual requirements to assist fellowship directors with timely completion of tasks. Creates advertisements for fellowship program. Identifies new sites and sources for advertising.

Receives all applications and screens for appropriateness and minimum qualifications. Understands ACGME regulations for acceptance into fellowship programs. Requests additional information from candidates as needed and communicates to the applicants when qualifications are not sufficient for entry into the program.

Organizes all qualifying applicants and presents the applicants to the Program Directors. Coordinates the interview process and creates the contract for the accepted fellows. Provides administrative support for fellows and fellowship program directors.

Coordinates travel and monitors professional development funds for all trainees. Administrative Support of Vice Chair for Education and Vice Chair for Faculty Professional Development. Maintains calendar and assists with administrative tasks for Vice Chair of Education and Vice Chair of Faculty Development.

Provides program support for Undergraduate Health Professions Programs in Pathology and Lab Science. Provides general support for faculty program directors. Assists with education projects as requested.

Serves as back up for tasks related to the residency coordinator and undergraduate Medical Education Coordinator positions. Participates in team meetings and trainings. Works with Medical Education Coordinator to manage schedule for medical students, pathology electives, visiting students and observers.

General Responsibilities Provides administrative support to the department, such as managing calendars, answering phone calls, creating routine and confidential correspondence, drafting reports and presentations, and arranging meetings and conferences. Schedules rotations and clinic hours for members, and may arrange extracurricular activities. Counsels current and incoming residents on administrative issues such as scheduling, rotation requirements, benefits, and leave.

Coordinates activities related to recruitment, including events, screening, interviewing, reference checks, and orientation for candidates. Maintains ongoing documentation with respect to accuracy, confidentiality, and accessibility. Implements program improvement projects from initiation to execution.

Offers recommendations to improve program administration and/or the overall quality of care. Participates in the planning and development of academic and clinical requirements to ensure that all accreditation standards are maintained. Qualifications Combinations of related education and experience may be considered.

Education beyond the minimum required may be substituted for work experience. Work experience beyond the minimum required may be substituted for education. EDUCATION Required High school diploma or equivalent (such as HSED or GED).

WORK EXPERIENCE Required 4 years experience in administration, office management, or program coordination. Preferred Experience in a clinical or academic setting. SKILLS Required Proficient communication skills.

Possesses flexibility to work in a fast paced, dynamic environment. Highly thorough and dependable. Possesses a high degree of initiative.

Ability to build strong customer relationships. Working Conditions / Demands This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.

Work Location IU Health Pathology Laboratory Indianapolis, Indiana This position is eligible to work a hybrid schedule (mix between remote and in-person work), subject to change in the future based on university policy and business needs.
