Office Manager Responsibilities
Create an environment of warmth and welcome.
Willingness to answer incoming customer calls and qualify and distribute sales leads.
Effectively engage with customers to discuss product features and benefits.
Work with direct customers and receive/enter individual sod orders/process credit card payments.
Maintain office in a clean and organized manner.
Manage Farm uniform program and ensure invoice reflects the correct usage.
Assist in farm participation of Buy Sod safety program administration.
Orders and assigns PPE to farm and H2A delivery personnel as position requires.
Assist employees in post-accident/incident protocol.
Serve as liaison between Shared Services and the Farm, partnering with each department (HR, IT, Accounting, Fulfillment, Transportation, & Safety) to help achieve objectives/goals.
Connect employees with the appropriate shared services contact for questions/issues that cannot be resolved locally.
Sod Central Liaison duties:
Track all Farm credit card purchases and scan receipts to shared services office.
Track expenses for farm budget purposes and work with Farm Manager to resolve any disparities efficiently.
Make bank deposits as needed.
Enter sod orders and process credit card payments for direct customers.
Create/Issue purchase orders (POs) for office and farm supplies.
Ensure all invoices, packing slips, and PO’s are accurate and scanned in to Sod Central.
Enter approved invoices and place them in appropriate folders daily (not to exceed 24 hours from time of approval).
Assist Farm Manager with recruitment and candidate screening, schedule interviews.
Manage with new hire application process ensure all items are completed properly before sending.
Manage orientation process (including safety) of new employees, coordinate company property and technology needs.
Act as designated authorized representative for in-person I-9 verification.
Assist Farm Manager with Domestic and H2A payroll, resolve missing punches, make time adjustments as needed and prepare for approval.
Manage policy update acknowledgement collection, annual and training documentation as directed and ensure completion and return by deadline.
Assist employees with time off requests and general benefit questions.
H2A Specific duties:
Lead H2A onboarding process and ensure all workers have bank accounts, Social Security cards, US Driver license renewals etc.
Process weekly timecard acknowledgement signoffs/return to HR for audit purposes.
Track H2A labor hours to ensure farm stays on budget/notify Farm Manager urgently of non-compliance.
Coordinate, perform and track H2A Driver/Loader specific onboarding training/coordinate with SodStar trainers as needed.
Monitor H2A Driver time daily and ensure punches align with planned hours and Hours of Service logs.
Monitor H2A Drive Camera footage daily for triggered safety events and notify Farm Management/Safety to determine appropriate course of action (coaching/corrective action) based on severity level. Ensure a resolution occurs and report to Safety/HR for filing.
Maintain schedule of driver rotation for freight loading/weekend routes.
Coordinate H2A deliveries, addresses/directions, drop location, customer call ahead, etc.
Assist with H2A housing, setup inspections, purchase products for compliance such as mattress covers, smoke detectors, housing cleaning supplies as directed by CDC/HR. etc.
Office Manager Requirements:
Must demonstrate ability to be a team player and build positive working relationships with others.
Must possess a high school diploma or GED equivalent.
Advanced education in administrative skills or degree is desired.
2+ years’ experience as a Receptionist, Office Assistant, or similar position.
Demonstrated ability to engage customers with professionalism, patience, and a people-first attitude.
Values relationships and results.
Ability to be physically/consistently present for critical onsite collaboration.
Ability to discern what issues need to be brought to upper management.
Basic computer skills: MS Office: Outlook, Excel, Word, etc.
Must be able to handle multiple tasks and perform well under pressure of deadlines.
Must be highly motivated and efficient with the ability to work independently.
Experience with MS office suite and the ability to learn company software programs required.
