What your job will be like:
As the Facilities Services Administrator, you will perform a variety of activities in support of functional areas of the Facilities Management & Logistics Department (FML) including: coordination of subcontractor access to support FML service and construction contracts; directing service inquiries to appropriate FML engineering, service, property and maintenance group personnel; and serving as receptionist for the FM&L Director and department by answering incoming calls and responding to requests.
In this role, you will:
Process FM&L subcontractor access registrations, create and modify personnel records in the Jefferson Lab Information System Toolkit (JLIST), and troubleshoot issues with the process.
Maintain positive communication and customer service relationships throughout the Lab
Schedule meetings and interviews for FM&L Division staff.
Establish and maintain filing systems, establish work procedures and collate information
Proofread correspondence and reports for proper format and grammar; make necessary corrections.
Serve as the FM&L Travel Coordinator; issue travel orders, make travel arrangements, and assist with travel vouchers.
Serve as the FM&L Records Manager overseeing document control and retention requirements policies and other assigned documents.
Maintain a tickler file of responses to incoming correspondence and required contract deliverable reports.
Create and edit FM&L web pages based on input from content owners.
Qualifications We Require:
Education:
High School Diploma
Experience:
Five years relevant experience or
Equivalent combination of education an experience.
Experience working in a high-volume environment, adapting to competing priorities and multi-tasking.
Experience preparing presentations and creating spreadsheets/databases.
Knowledge, Skills, Abilities:
Demonstrated high level of knowledge, experience and proficiency with Microsoft Word, Excel, PowerPoint and Adobe Acrobat.
Ability to organize and prioritize in a multi-task environment as well as to independently identify and solve problems.
Ability to work to deadlines.
Advance written and oral communication skills.
Strong interpersonal, customer service and trouble-shooting skills.
Ability to communicate effectively with people at all levels and from varying backgrounds.
