Adecco is assisting a client in Princeton, NJ in their search for a Facilities/ Moves Coordinator. The Facilities/ Moves Coordinator will be responsible for coordinating all moves within the client's portfolio. You will manage the process of the employees transitioning to the new program and to act as a liaison for the employees in transition.

MAIN PURPOSE
The client is evaluating the move to a reservable desk program. The role will provide support to the Account Manager and Client for the end-to-end management of all moves including engaging with Client and stakeholders, incorporating the design and layout and, where required, coordinate around any minor work required.
Responsibilities include requesting and following up on completion of labor, coordination of subcontractors and suppliers, coordination of work in progress and of budget and any variations, and verification of and reporting on completed work.
Providing management information relating to work in progress and completed moves, maintaining building occupancy data, maintenance of the client reservation software and move management data for internal churn and refurbishment projects throughout the Client's portfolio.
To recommend storage and other move related solutions as discovered/required.
MAIN JOB RESPONSIBILITIES
  • Moves Co-ordination and Planning
  • Support All Client move projects, decants, and restacks.
  • Provide information to allow timely CAD updates on occupancy.
  • Provide Moves support to aid completion of internal office moves.
  • Work with department admins and the work ticket program to schedule moves, clean ups, new hire seating, etc.
  • Work with the Head of Property to schedule and coordinate larger moves.
  • Work with vendors and checking new spaces to ensure that all required work, cleaning, repairs, and reconfigurations are completed correctly, and spaces are ready to move in
  • Work with vendors to ensure boxes and other move support materials and labor are scheduled and provided as needed.
  • Upon client approval, the requirement is to successfully deliver all moves / projects within time, quality, and budget to the full satisfaction of the business with minimum disruption and compliance with all relevant legislation.
Space Management support
  • Update reservation levels of approval (changing seats from Core and reservable only by employees of one entity, Buffer and reservable by employees of two or more entities, Open and reservable to all entities) in Office Space software.
  • Approximately half of each day is spent inputting occupancy data in Excel for multiple locations (with information supplied by Security Access reports). Report is updated daily so strong administrative, data input, Excel, and organization skills are needed.
ADDITIONAL RESPONSIBILITIES
  • In addition to the primary responsibilities, there is also a requirement to support the operational Facilities Management team and carry out Moves admin tasks as follows:
  • Process Purchase Orders, raised by the FM team.
  • Acknowledge all portfolio onboarding tasks received via Client systems and allow appropriate allocation of the task to onwards service streams by actioning appropriately.
  • Review and schedule approved Move Requests in the Moves calendar, ensuring all relative service streams are notified so FM and Archibus duties are carried out accordingly.
  • To plan and schedule all BAU moves by liaising with the Client IT department, and scheduling in the Moves calendar.
QUALIFICATIONS
  • Self-starter with ability to manage multiple projects or multi-phases of a project running concurrently.
  • Must be organized, thorough, work to tight deadlines and prioritize when working on multiple projects concurrently.
  • An understanding of the refurbishment / fit out project management process including technical requirements, and where moves management fits in as part of a large-scale project.
  • Experience in managing Moves budgets up to the value of 100k for large fit out projects.
  • Experience in presenting and communication with senior managers in a financial services environment.
  • Excellent communication and negotiation skills.
  • Knowledge of Space Planning and associated legislative compliance including ADA and Health & Safety.
  • Experience in moves, decants, relocating individuals between buildings, or to alternative offices in various locations.
  • Organizational skills to manage the floor clearance of a newly vacated space, including furniture inventory, storage, recycled, or reused.
  • An elevated level of IT literacy in software operation, and specific training and knowledge in MSOffice systems.
COMPENSATION AND BENEFITS
  • Annual compensation range up to $70,000
  • PTO allocation starting in January 2024:
    • Vacation - 10 days for 2024; 15 days beginning January 2025
    • Sick - 7 days annually
    • Wellness - 2 days; after completion of one (1) year of service - e.g. eligible in January 2025
    • Public holidays - we follow the Munich Re public holiday schedule
  • 401(k) - up to 5% matching contribution; eligibility to participate is 90 days post hire date
  • Health/Dental/Vision/Basic Life Insurance - effective on the 1st of the month following hire date. Eligible to participate in both FSA and HSA plans.

Pay Details: $65,000.00 to $70,000.00 per year
