Job Summary:

The Facilities Specialist is responsible for a variety of business and operational functions delivered as a service by the General Services office in support of facility operations to ensure established service level agreements (SLA) are fulfilled at the Capital Mall campus. Under direction, the position is responsible for business-critical mail flow to ensure department programs meet or exceed federal, state, and local regulations and guidelines. The position is responsible for supporting facilities operations (receiving assets, tagging assets, invoice review, picking up mail, delivering mail, sorting mail, etc), scheduling, and resolving facility work orders. The position contributes to the design of program operating procedures, the monitoring and evaluation of program progress and related activities; and performs related work as required to support facilities operations. The position may serve as the principal resource assigned to support facility operations and may perform other duties assigned by the General Services Administrator or designee.

Job Duties:

  • Perform facilities operations (receiving assets, tagging assets, invoice review, picking up mail, delivering mail, sorting mail, etc)
  • Resolve facility work orders and assigned tickets within defined SLA
  • Surplus end-of-life computing assets.
-Other duties as assigned as related to the position (typically 5% - 10%)

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
  • Applicable program regulations, objectives, standards, and procedures;
  • Mailroom operations, procedures, analysis techniques, and principles;
  • The concepts of service delivery;
  • Continous quality improvement methods in a public health setting;
  • Performance Management (PM), and Continuous Quality Improvement (CQI) and Lean methodologies

Skill in:
  • Provide effective guidance and expertise in the development and implementation
of programs and projects in the mailroom;
  • Review and evaluate program activities
analytically and to develop effective plans and methods for program improvement;

Selective Preference(s):

Bachelor's degree in Business or related field with 2 years in mail room/facilities administration, inventory control, and quality focus. Master's degree will substitute for 1 year of experience.

Retirement:

To help you build a financially secure future, the State makes monthly contributions to finance your retirement benefit. The State will contribute to the ASRS in an amount equal to your contribution. In other words, you and the State will each pay 50% of the total cost of the benefit. New State employees have a 27-week wait period for contributions to begin.
