Facilities Director/Project Manager

This is a hybrid role. It combines two positions, a Project Manager and a Facilities Director. The Project Manager role consists of coordinating and managing the successful delivery of projects from initiation to completion. This includes managing project scope, timeliness, resources, risks, and stakeholder expectations while ensuring compliance with relevant regulations and standards. The Facilities Director role includes creating a safe and efficient work environment that improves business performance and optimizes productivity. This encompasses overseeing facilities operations, managing the facilities budgets, directing maintenance, responding to emergencies, managing risk, managing contractors, overseeing security, and conducting site inspections.

Requirements

Essential Duties and Responsibilities of the Project Manager

• Define project objectives, scope, and deliverables in collaboration with stakeholders.
• Develop detailed project plans and maintain accurate and up-to-date documentation, including timelines, resource allocation, risk management strategies, and issue logs.
• Obtain necessary approvals and secure project resources.
• Monitor project progress, identify potential risks or issues, and implement corrective actions as needed.
• Manage vendor relationships and ensure timely delivery for necessary supplies or services.
• Maintain accurate and up-to-date project documentation, including project plans, schedules, risk logs, and issue logs.
• Ensure compliance with relevant regulations, standards, and best practices throughout the project lifecycle.
• Identify opportunities for process optimization and implement improvements to enhance project delivery and efficiency.

Essential Duties and Responsibilities of the Facilities Director

• Ensure the property and all assets are in good condition, make arrangements for repair or proactive maintenance as needed
• Inspect the facility and grounds for proper sanitation and direct staff to make corrections as needed
• Train, manage, and support the Practice Manager and janitorial services in all aspects related to facilities maintenance, repair, and related systems.

• Collaborate with COO to coordinate annual budget for maintaining the facility and identify vendors for ongoing and one-time contracts
• Work with leadership to design and plan facilities layout
• Schedule and oversee renovations
• Oversee contractors
• Work with outside agencies such as fire, health, building department, etc. to ensure compliance with all local, state, and federal regulations related to facilities and grounds
• Implement safety procedures

• Project management methodologies.

• Project planning, time management, scheduling, and managing multiple projects and priorities simultaneously.

• Excellent verbal and written communication skills.
• Superb interpersonal skills with the ability to work effectively with a diverse group of individuals.
• Leverages superior negotiation talents to secure advantageous contracts and agreements with vendors, service providers, and other stakeholders.
• Proficient computer skills and knowledge of Microsoft Office Suite

Experience and Education

• Bachelor’s degree in a relevant field such as healthcare administration, project management, or business administration.
• Professional project management certification (e.g., PMP, CAPM) is preferred.
• Proven experience in managing healthcare projects or initiatives.

Work Environment

The Director of Facilities/ Project Manager position is remote but will require regular travel to clinics as needed. Typical working hours are 8a to 5p Monday through Friday. On occasion, evening or weekend hours may be required.

While performing the duties of the position, the Director of Facilities/ Project Manager must be able to stand and walk for prolonged periods of time, and be physically able to bend, lift up to 50 pounds at a time, stretch, climb, and crawl to maintain equipment and buildings. The Facilities Director must also be able to operate standard office equipment and keyboards and talk and hear (both in-person and by telephone).

Travel

The Director of Facilities/ Project Manager will regularly travel to therapy clinics. Travel is expected to make up about 20% of work hours. This position will also travel on occasion for in-person meetings, conferences, or training. Travel time will be paid for by UNIFI. Mileage can be expensed.
