Position Title: Facilities Assistant Manager
Position Type: Full Time

Position Summary
Designs, establishes, and administers assigned aspects of general maintenance related to museum facilities through planning and day to day management of the facilities to ensure operational aspects of the museum meet the highest standards of quality.
The Facilities Assistant Manager will oversee a variety of maintenance and repair work such as minor carpentry, plumbing and painting tasks at various facilities/sites; performs troubleshooting, schedules repairs and exercises discretion in identifying projects requiring the services of a higher skilled person; oversees the setup and tear down for events; manages the custodial team; ensures work logs are recorded for specific requirements; and ensures staff maintain clean, safe and orderly work areas. This position will also be required to monitor work requests within the Centralized Maintenance Management System (LIMBLE).
The responsibilities assigned to the Facilities Assistant Manager are considered mission critical and as such the Facilities Assistant Manager is expected to respond promptly to calls or texts which are of an urgent matter. Based upon this expectation this position is considered eligible for a cell phone stipend.
Position's Principal Responsibilities

  • Recruit, select, train, and supervise personnel in the areas of building maintenance, and event set-up/tear down.
  • Develop standards, policies and procedures for the facilities unit and ensure compliance with such standards by museum staff.
  • Evaluate and monitor assigned or ongoing projects regarding progress and costs.
  • Develop and implement regular preventative maintenance schedules as assigned by the Facilities Manager or Chief Engineer
  • Attend weekly planning meetings with special event, culinary and education departments to ensure event details are captured and properly vetted
  • Determine facility staff and Bravo schedules to best meet the needs of the museum
  • Supervise and work with the team in the setup and tear down of furniture for special events and internal meetings
  • Ensure the team maintain standards, policies, and procedures as they relate to event setups, preventative maintenance, and recycle/garbage disposal
  • Oversee the installation of equipment (i.e., washer, dryers, microwave, refrigerators, etc.) and assembly of furniture, fixtures and other equipment as needed
  • Communicate with the on-site Bravo team making sure directions are clear
  • Assist, when necessary, with daily chores in and around the Museum
  • Assist with office build outs as time permits
  • Identify on-going capital improvements
  • Design and maintain a program to assure conservation within required environmental perimeters, including appropriate recycling program
  • Provide critical leadership in the event of any natural or man-made disasters impacting buildings
  • Assist with assigned departmental operating budget and related capital budget

Additional Responsibilities
  • Order Janitorial Supplies as needed
  • Biweekly On Call
  • Manage Maintenance Requests through Limble

Minimum Qualifications
Education, Training, and Traits
  • Any combination of education, training and experience which demonstrates ability to perform the duties and responsibilities as described.
  • Education sufficient to follow directions and instructions, both verbal and written, in English. Education sufficient to efficiently communicate in writing. High School diploma or GED preferred.
  • Highest ethics as they relate to all aspects of business.
  • Enthusiasm about being a member of a team supporting a major art museum with a strong guest-centered community dynamic.
  • Basic knowledge of the following trades: carpentry, janitorial, plumbing, and painting.
  • Knowledge of standard practices and tools used in the maintenance and repair of building facilities.
  • Effectively use a variety of hand and power tools.
  • Strong organizational skills.
  • Ability to trouble shoot/analyze problems with equipment and controls.
  • Ability to work independently and with initiative.
  • Ability to effectively contribute to a project team dynamic.
  • Basic abilities in Microsoft Office including Word and Excel.
  • Ability to understand and maintain the highest levels of confidentiality.
  • Must be physically and mentally fit to respond to emergency situations.

Work Experience
  • Minimum of two (2) years of facilities or maintenance experience.

  • Work Environment: Work will be performed in and outside of museum spaces, offsite properties, construction areas, and in communities served. Work environment may include exposure to potentially hazardous chemical solutions. While performing the duties of this job, the employee is exposed to weather conditions prevalent at the time. Incumbent must meet a flexible work schedule that includes days, evenings, and weekends and available on-call for emergencies.
