Job Description
The Facilities and Security Specialist plays a key role in supporting the Facilities and Security operations and managing facility projects. Responsibilities include effectively handling facility and Security issues as they arise, updating facility and Security systems, developing and managing workflows, conducting space analysis within the Libraries, and serving as a liaison between departments and external contractors. This individual will independently coordinate and supervise projects, using strong project management skills, and act as the Facility and Security Manager's representative when needed, ensuring continuity and effective communication within the department.
Qualifications
  • Bachelor Degree in Business or Engineering Required.
  • Ability to summarize information in a clear, cogent, and concise manner.
  • Strong interpersonal, communication, time management, and organizational skills.
  • Adaptability to change in direction, rush projects, and reprioritization of projects.
  • Ability to present information and conduct training with small to medium sized groups.

Job Specific Qualifications
  • Proficiency in creating reports and queries using appropriate tools such as Tableau, Access, and Excel.
  • Proficiency in creating layouts with Auto CAD, Sketchup and Visio.
  • Ability to coordinate with different departments or outside vendors.
  • Ability to read Blueprints.
  • Work with CPDC and Facility Services to ensure they understand the issue and keep you informed.

Responsibilities
  • Act as the Facilities and Security Manager's representative when needed, ensuring continuity and effective communication.
  • Proactively gather information before meetings to maintain awareness of key topics and management's stance on relevant issues.
  • Possess a comprehensive understanding of the Libraries as a whole to effectively handle situations as they arise and keep management promptly informed of any developments.
  • Maintain a deep understanding of all security and safety systems within the Libraries. Update these systems regularly, including access times and personnel, to guarantee optimal security throughout the semester.
  • Track and create/update dashboard for Maximo facility tracking issues.
  • Under the guidance of the Facilities and Security Manager, this position is responsible for the following aspects of the Libraries' renovation and improvement project, ensuring their successful execution from start to finish.
  • Supervising project teams.
  • Reviewing plan submissions.
  • Managing timelines and schedules.
  • Coordinating with contractors and installers.
  • Designing space layouts.
  • Resolving major project issues.
  • Communicating project updates to library staff.
  • Collaborate with process owners to streamline workflow by:
    • Benchmarking existing processes to identify improvement opportunities.
    • Mapping and visualizing workflows using CAD, Visio, or other software.
    • Developing and implementing improved policies and procedures.
    • Adapting workflows to new technologies.
    • Training staff on new or updated processes.
    • Monitoring and evaluating workflow effectiveness to ensure continuous improvement.
  • Maintain accurate and up-to-date floor plans and data for all Syracuse University Library facilities.
  • Analyze space utilization and develop strategies to maximize efficient use of library facilities.
  • Track and monitor the utilization of individual spaces within the Libraries.
  • Provide space allocation recommendations to Library Administration based on data-driven insights.
  • Uncover library strengths and opportunities for improvement through data analysis, reporting, and knowledge of library processes.
  • Support data-driven decision-making by designing informative reports, including a quarterly metrics book, for library leadership.
