Job description

Summary:

As an Exhibition Coordinator at Imua Discovery Garden, the overall responsibilities will be the facilitating and coordination of visitors to the exhibitions in garden spaces, including educational and private viewings, as well as the general coordination of the entire exhibition process.

This is a Temporary Full-Time position for up to 12 months with the possibility to be extended to a Permanent Full-Time position.

Essential Duties and Responsibilities:
  • Facilitating all guests and visitors throughout the exhibition process.
  • Registering guests and visitors and monitoring the entire registration process.
  • May require supervision of volunteers (including recruitment of volunteers, training, and oversight)
  • Follows volunteer and volunteer recruitment processes as directed by Human Resources.
  • Ensures excellent communication to all visitors, guests, staff, and volunteers.
  • Facilitates scheduling and scheduling process of volunteers.
  • Facilitates required documentation and record-keeping as required by Imua Family Services
  • On-site presence during visiting hours at exhibits may be required.
  • Follows Safety and Security protocols of Imua Family Services for guests, visitors, volunteers, and staff.
  • Assists Fund Development staff with annual festivals and fundraisers as needed.
  • Performs other duties as assigned.

Other Events and Outreach Activities included include:

Imua Discovery Garden

  • Kids Camps - These maybe facility rentals at IDG (for example Maui OnStage, Grow Some Good etc) Or these may be Imua hosted day camps.
  • School Field Trips
  • Playdates and other Kids Play events
  • Summer evening Events such as Theater in the Park
  • New suggestions and ideas as we develop the culture and brand of Discovery Garden
  • Other duties as assigned

Organization:

  • Communicates effectively with children, families, colleagues, and community.

Quality Improvement:

With other staff, is responsible for the development and implementation of quality improvement practices.

  1. Monitors Accident/Incident Reports of guests, visitors, volunteers, and staff.
  2. Helps to maintain a work environment that provides maximum safety and health. Report unsafe conditions, injuries, illnesses, and incidents as soon as they occur.

  1. Education and/or Experience

Must be at least 18 years old and meet the following:

  1. High School Diploma or equivalent required.
  2. At least one year related experience preferred.
  3. Language Skills
  4. Ability to read and comprehend complex instructions, correspondence, and memos.
  5. Ability to write complex correspondence.
  6. Strong customer service skills
  7. Reasoning Ability
  8. Able to apply common sense understanding to carry out detailed written or oral instructions.
  9. Ability to apply problem solving skills in concrete and variable situation.
  10. Strong Communication skills required.
  11. Computer Skills

Knowledge and understanding of Microsoft Office software - specifically Microsoft Word and Excel.

  1. General

In performing the duties of this job, the employee is regularly required to sit, talk, and hear. The employee may be on their feet regularly walking and standing for long periods of time. The employee may occasionally be required to reach, stoop, bend, kneel, and crouch. The employee should have the manual dexterity needed to be able to file, type, and accomplish general office tasks specific to job duties of this position. The employee may occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and ability to adjust focus. The employee may be required to work in different types of weather conditions.

  1. Travel

Available to travel on occasion for meetings, seminars, trainings, etc. on Maui and across the state.

  1. Work Environment

Works primarily at Imua Discovery Garden with some Kahului office time with children around educational material, preschool equipment, toys, and an outdoor playground. Workspace also includes a business office with co-workers utilizing office supplies, computers, printers, copiers, and telephone equipment. Work time is conducted during business hours (7:45am to 4:30pm) unless otherwise specified. May be required to work weekends.
