Job description

The University of Lynchburg, a private regional university located in the beautiful foothills of the Blue Ridge Mountains in central Virginia, is seeking a full-time Executive Assistant to join our Office of Academic Affairs team.

The Executive Assistant reports to, is supervised by, and evaluated by the Provost or Associate Provost(s). Work performance evaluation will be ongoing and carried out by the Provost or Associate Provost(s). It will include the specific duties and responsibilities of this position description, plus employee attitude and general working behavior.

Job Purpose:
Responsible for providing executive administrative support to the Vice President & Provost, and Associate Provost(s) for Academic Affairs.


Specific Job Duties:

  • Provides executive support to the Vice President/Provost and Associate Provost(s) for Academic Affairs.

  • Handles confidential correspondence and records.

  • Prepares responses to routine correspondence.

  • Performs administrative duties, exercising judgment and independent decision-making.

  • Monitors budgets for Academic Affairs area.

  • Coordinates the schedule for luncheons, meetings, and other functions. This may involve room set-up, calendar reservations, invitations, agendas, menu planning, and ordering engraving and gifts.

  • Provides administrative support to the Provost Council and the AESS of the Board of Trustees. Prepares quarterly reports, records transcribes, and distributes the minutes to members.

  • Schedules appointments for individuals to meet with the Provost or Associate Provost(s). Coordinates and schedules group and committee meetings.

  • Works with MARCOM for the Academic Affairs web page. Works with Information Technology and Resources to build a technology-based system for Academic Affairs.

  • Manages the Academic Affairs responsibility for the academic awards banquet.

  • Works with others on campus to coordinate Commencement exercises.

  • Maintains the Student Academic Awards Database.

  • Corresponds with the College Attorney regarding legal issues.

  • Performs other related duties as assigned that may be required.


Starting Salary:
$45,000.00

Schedule:

  • 8:30 am - 5:00 pm (7.5 hours/day with some evenings and weekends to meet needs of the department may be required

Required Qualifications:

  • Minimum of 5 years of progressively responsible administrative professional experience. Above-average knowledge of office procedures and secretarial skills. Computer knowledge of G Suite. Excellent oral and written communication skills.

  • Excellent organizational skills. Excellent typing skills. Must be a self-starter, can handle multiple priorities, and have close attention to detail and accuracy. Must be courteous, people-oriented, and have excellent interpersonal skills.

  • Technology skills required for the daily function of the office and other assignments include - Google Suite, Ad Astra, PayCom, and Colleague.


Preferred qualifications:

  • Excellent English-language oral skills for effective communication in telephone and interoffice contacts. Excellent English-language reading and writing skills for responding accurately to inquiries, drafting correspondence, and producing reports. Good mathematical skills are necessary to prepare statistical reports and other assigned projects.


Education:

  • Bachelor’s degree or equivalent years of experience, preferably in business or executive administrative-related field, and computer skills training.
