Executive Assistant to the President & CEO & Special Projects Coordinator

The Bezos Earth Fund is a new and fast-growing philanthropy dedicated to combating climate change and protecting nature. We are looking for an Executive Assistant (EA) to support the President & CEO on a variety of daily activities and longer-term priorities to support the smooth functioning of the Executive Office. The EA will provide high level administrative support, ensure prompt attention to activities, and use knowledge of institutional procedures and priorities over time to manage processes and complete tasks.

NOTE- The Bezos Earth Fund is regrettably unable to sponsor work visas for this position.

Key Responsibilities

  • Coordinates and maintains the calendar for the President & CEO to optimize time and to facilitate the exchange of information. Coordinates all aspects of meetings, travel, and other events. Determines the nature of appointments and helps obtain the necessary background materials. Monitors deadlines, follows up on delegated tasks and provides appropriate reminders. Coordinates Team meetings including preparation of agenda and materials.
  • Provides assistance to executive in preparing for meetings and Special Projects. Gather documents and attend to logistics for meetings. May attend meetings to document, as appropriate, critical commitments and follow through required. Ensures prompt follow-up on activities.
  • Manages communications, including responding to emails on the CEO's behalf, drafts and edits correspondence and other internal and external communications as needed.
  • Serves as liaison to all internal staff and external contacts/partners. Helps ensure that team members have the information and tools needed to be successful as they relate to working with the President & CEO.
  • Supports business strategy and initiatives by managing complex projects and coordinating special events.
  • Undertakes research and Special Projects on behalf of the President & CEO/Executive Office, based on the current and future needs of the organization.
  • Maintains strong relationships with colleagues in the organization to facilitate communication and support organizational goals.
  • Reviews and processes payments for credit cards transactions, expense reports and invoices. Inputs proper coding into the financial system and serves as the liaison with accounting to track payments.
  • Performs other duties as assigned.

Education and Experience:

A Bachelor's degree or equivalent experience is required. Five or more years of demonstrated experience supporting the work of an executive is required. A master's degree is welcomed and may be substituted for 2 years of experience. Related experience supporting climate change, nature, or sustainability programs, is also required.

  • Experienced with organizing complex travel logistics for senior level professionals.
  • Excellent interpersonal skills requiring the courtesy, tact, and diplomacy necessary to effectively communicate with staff, callers, visitors, and other stakeholders.
  • Energetic and passionate about the Earth Fund's mission.
  • Ability to work with staff across levels and build relationships with a variety of stakeholders.
  • Ability to contribute to a diverse, equitable, and inclusive work culture that encourages and celebrates differences.
  • Ability to effectively prioritize and execute many activities at once.
  • Proficient in Microsoft Office suite, especially Word, Excel, and Power Point, as well as SharePoint, Teams, Zoom and other collaboration platforms.

Physical Requirements and Working Conditions:

  • Prolonged periods sitting at a desk and working on a computer.
  • May require extended and/or weekend hours for urgent issues or to meet established deadlines.
  • This position is based in Washington, DC
