Description:
Our CEO is actively seeking an Executive Assistant. A successful candidate will support our CEO who embodies the true spirit of entrepreneurship by keeping her grounded in the day-to-day activities and actions across multiple business entities/channels.
Responsibilities & Activities:
- Proactively assist the CEO in managing multiple businesses including handling calendar and prioritizing the most critical matters
- Schedule and manage calendar and appointments for non-FFWMG businesses
- Provide project management support on special initiatives and strategic projects as assigned by the CEO covering all business entities
- Provide administrative assistance such as writing and editing e-mails, drafting letters, and preparing high quality communications, presentations, and other material on the CEO’s behalf
- Holding CEO accountable to her commitments including content creation for social media
- Support marketing initiatives across all business entities
- Organize meetings/retreats/workshops, including scheduling, securing locations, working with vendors, sending reminders, supporting attendees, and organizing catering when necessary
- Prepare for and manage all travel related needs for the CEO and team members when needed
- Attend non-FFWMG events/virtual sessions and capture the vision (for marketing purposes) and promises that CEO makes
- Proactively follow-up on promises including tasks and actions
- Handle technology for CEO to allow for efficiency and scale
- Communication support to ensure nothing falls through the cracks
- Maintain confidentiality between businesses
Required Knowledge, Skills & Abilities:
- Minimum 2 years of clerical/administrative experience
- Previous Executive Administrative experience preferred
- Minimum 2 years of customer service experience
- Preference given to 1+ years of experience within the financial services or professional services industry and/or marketing expertise
- Excellent organizational, time management, and detail-oriented skills
- Ability to handle competing priorities and multiple tasks
- Excellent interpersonal and communication (oral & written) skills
- Proficiency with computers, technology, Zoom, social media
- Willing to travel as needed
