POSITION SUMMARY

The candidate must live within one hour of Birmingham, Alabama

The Executive Assistant performs confidential, clerical, and administrative functions. They will coordinate a widely varied set of tasks that support the entire TEAm.

RESPONSIBILITIES

  • Complete a broad variety of administrative tasks with a high level of professionalism including: managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

  • Handle all company correspondence, documents, and meetings as confidential.

  • Successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Department Head to effectively lead the department.

  • Complete projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; and making adjustments to plans.

  • Perform advanced administrative tasks including preparing communications, expense reports, making reservations for travel, arranging detailed plans and meeting agendas.

  • Attend TEAm meetings and prepare summaries as needed.

  • Complete special projects by establishing objectives, determining priorities, monitoring progress and problem solving.

  • Manage company milestone and recognition program.

  • Provide backup within department as needed.

  • Serve as a Strategic Planning auditor by attending all quarterly and annual meetings to prepare Department Metrics and monitor progress.

  • Maintain Department SharePoint sites and be an Office 365 Champion.

  • Upholds and participates in all Corporate Responsibility programming including recycling, social advocacy and MMAD volunteering opportunities.

  • Invest in and is an example of Milo's Responsibility commitment which includes environmental, social, and corporate governance components.

  • This position has food safety responsibilities.

  • Other duties as assigned.

QUALIFICATIONS

  • All applicants must have a B.A. or B.S. degree; or a minimum of 5-7 years related experience andor training; or equivalent combination of education and experience.

  • Ability to read and interpret reports and correspondence.

  • Must have excellent spelling and grammar; excellent phone skills, meet deadlines; proof one's own work.

  • To perform this job successfully, an individual should be proficient in Microsoft Office (Outlook, Word, Excel, and Power Point).
