JOB RESPONSIBILITIES

Summary:

In this role the Executive Assistant will provide diverse administrative, clerical and technical assistance to the Business Unit Head (BUH), as well as specialized administrative support to the executive Corporate Real Estate and Security team. Working independently, the incumbent must successfully execute assignments that are complex in nature. They must have effective communication skills, organizational abilities and be comfortable interacting with individuals at all levels in the organization. Work is generally of a critical or confidential nature.

Essential Functions:

1. Reviews, prioritizes and responds to incoming mail, voicemail, email, and confidential documents. Determines if executive action is required.

2. Communicates with Executive staff and all levels of personnel inside and outside of the company to gather and convey information pertaining to executive's office and responsibilities. Reviews and prioritizes activities, takes action and escalates critical matters. Refers routine matters to appropriate parties for action and follows up to ensure proper disposition.

3. Assists clients, customers, or others with general information in a professional manner. Serves as a primary administrative liaison and point of reference for the entire BU, and other internal/external contacts.

4. Acts as an information source on organizational policies and procedures. Maintains overall awareness of company policies and procedures. Communicates with the larger Real World & Late Phase team as needed to ensure BU compliance.

5. Manage, plan and organize BU Head calendar. Schedules business meetings both inside and outside of the office via an electronic calendar. This activity requires the ability to prioritize and make good judgement on often conflicting and competing meeting requests.

Work closely with the executive leadership team, and other stakeholders to schedule executive level operational/BU-level meetings on a regular basis. Must be conscious of time zones and be comfortable scheduling across them.

6. Gathers, compiles, and reports information relevant to departmental needs and projects including those of a confidential nature. Prepares presentations, tables, charts, memorandums, reports, and other material as needed for executive meetings. Prepares, maintains, and updates BU reference tools, and other documents. Provide specialized administrative support to relieve and assist the entire Corporate Real Estate and Security leadership team of advanced administrative duties. This includes the ability to locate and share BU specific documentation with the team.

7. Participates in planning functions and executing events. Attend meetings as requested, taking notes, and tracking/following up on action items. Manage sensitive matters with a high degree of confidentiality and discretion. Plans and coordinates team events; in house and off-site. Sometimes acts as a lead in the planning and execution of events driving staff engagement.

8. Initiates required administrative reports. Research and compile data for specific projects as assigned. Understand how to read, filter, and extract data from Excel-based sheets to create new reports.

9. Sets up and administers filing systems. Manages and maintains multiple electronic filing systems across several platforms for the BU.

10. Arrange and oversee all administrative, logistical and hospitality aspects of BU head domestic and international travel. Process all related expenses.

11. May assist in developing, implementing, and monitoring internal operating systems and procedures. May be asked to assist on complex assignments with independent action. A high degree of initiative is required to resolve challenges and develop recommendations. May be asked to complete ad-hoc projects to support the BU, as needed.

12. Prepare a variety of high-quality correspondence, presentations, reports, agendas, memos, and other documents, often requiring the ability to gather information, search files, and make personal contacts to obtain all required information.

Welcome new hires and function as a resource to orientate them to the BU. Survey the market and company on upcoming conferences, and other events appropriate to BU team.

Work closely with Talent Acquisition to facilitate candidate interviews with the BU Head and members of the BU executive team.

Qualifications - External

QUALIFICATION REQUIREMENTS

High school education plus extensive experience providing specialized administrative support, or equivalent combination of experience and education. Some college courses preferred.

Familiarity with the pharmaceutical business, medical terminology, and financial/business terminology.

Superior proficiency utilizing Microsoft Office Suite (e.g., Outlook, Word, Excel, PowerPoint, Visio), Working knowledge of MS Teams and SharePoint.

Requires flexibility, openness to suggestions, highly effective verbal, written, interpersonal and collaborative skills with ability to interact with staff from multiple departments and regions.

Possesses strong analytical skills with ability to work independently and conduct detailed instructions, perform several tasks simultaneously, to organize and prioritize work while meeting aggressive deadlines with accuracy and attention to detail.
