Pulmonx is seeking an experienced and highly organized Executive Assistant to provide comprehensive support to the Chief Executive Officer (CEO) and select Executive Team members. The ideal candidate will possess excellent communication skills, impeccable attention to detail, and the ability to handle a wide range of administrative and executive support tasks with discretion and professionalism.
Responsibilities and Capabilities:
- Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Provide support to assist the Executive Team members as needed.
- Coordinate and prioritize incoming requests and ensure timely responses to emails, phone calls, and other forms of communication.
- Prepare and edit correspondence, presentations, reports, and other documents as needed.
- Conduct research and compile information for various projects, presentations, and reports.
- Act as a liaison between the CEO and internal/external stakeholders, including employees, customers, partners, and vendors.
- Assist in preparing materials for board meetings, executive meetings, and other important events.
- Handle confidential and sensitive information with discretion and maintain confidentiality at all times.
- Anticipate the needs of the CEO and proactively address any issues or concerns that may arise.
- Assist in special projects and initiatives as assigned.
- Perform other administrative duties as required to support the CEO and the executive team and ensure the efficient operation of the executive team.
Requirements:
- Bachelor's degree in Business Administration, Management, or related field.
- Experience in a similar role within Medical Device/Life Sciences.
- Proven experience as an Executive Assistant or similar role supporting C-level executives.
- Must have excellent problem solving skills.
- Self-motivated and self-directed; Excellent organizational skills and the ability to multitask and prioritize in a fast-paced environment.
- Strong written and verbal communication skills, with exceptional attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Ability to maintain confidentiality and exercise discretion when handling sensitive information.
- Strong interpersonal skills and the ability to interact effectively with individuals at all levels.
- Proactive mindset with the ability to anticipate needs and take initiative.
- Flexibility and adaptability to changing priorities and deadlines.
- Professional demeanor and a positive attitude.
- Experience coordinating and planning corporate events and meetings.
Compensation: $96,000 - $130,000 annual base salary dependent upon experience
