Position Summary:
The Executive Assistant role is to provide administrative support to the President/CEO, the Executive team, the Board of Directors, and the Supervisory Committee. This role is a highly visible role and requires a high degree of flexibility, professionalism, and confidentiality.
Primary Duties & Responsibilities:
- Provides confidential administrative support to the CEO. Composes letters and memoranda from dictation, verbal direction, or from knowledge of organization policy or procedures; edits written communications from word processing documents. Coordinates meetings and makes travel arrangements for the CEO and others within the credit union including Executive team, Board of Directors, and Supervisory Committee members;
- Maintains the CEO’s daily appointment calendar, screens incoming mail, publications, and other correspondence for appropriate follow up and resolution;
- Assists the CEO in matters pertaining to the Board of Directors and Committee meetings including, but not limited to collecting and assembling Board Reports, scheduling meeting rooms and reservations, setting up meeting rooms and assisting Board and Committee members in attending meetings, taking and preparing meeting minutes, and preparing information for appropriate dissemination;
- Maintain office supplies;
- Performs other duties as assigned.
Position Requirements:
- Highly proficient in Microsoft products including, but not limited to Word, Excel, Outlook, Powerpoint, Visio, as well as Adobe/PDF document management;
- High level of attention to detail and organizational skills. Ability to work accurately with a sense of urgency;
- Demonstrate a high degree of professionalism, communicate clearly and concisely both in verbal and written communications, and maintain confidentiality at all times;
- Work in a variety of office settings (desk/cubicle, office space, meeting room, virtual meetings). Ability to lift office supplies required (up to 15 lbs.)
- Proficient in grammar and the English language, with an emphasis on written language proficiency.
- Flexibility with schedule to accommodate meeting times which may include evenings (1-2x per month)
Other:
Limited Travel may be required periodically. Ability to attend Board meetings in the evening hours 1-2x per month is necessary.
