Position Overview:
As an Executive Assistant at Artistic Grounds, you will play a critical role in ensuring the smooth operation of our business by providing high-level administrative support to our company owner and leadership team. This position requires excellent organizational skills and the ability to handle multiple tasks simultaneously.
Duties/Responsibilities:
- Provides administrative support and assistance to the Company owner.
- Performs clerical and administrative tasks, including drafting letters, memos, reports, and other documents.
- Answering phone calls
- Arrange travel and accommodations for the owner occasionally.
- Schedules and attends meetings, taking notes, and recording minutes.
- Receives incoming communication or memos on behalf of owner and reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
- Performs office tasks, including maintaining records, ordering supplies, and performing basic calculations.
- Updating project deliverables and materials on Trello
Performs other related duties as assigned.
Required Skills/Abilities:
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and, at times, stressful environment.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Able to type a minimum of 40-50 words per minute.
Extremely proficient with Google Suite, Microsoft Office, or similar software and able to learn new or updated software.
Education and Experience:
At least two years of related experience is required, preferably within the trades/construction industry.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
