The Executive Administrative Assistant will provide high-level administrative support to the CEO of FedEx Dataworks and play a crucial role in enhancing the efficiency and effectiveness of our executive leadership. This role supports, interfaces, and has access to top-level executive leadership and initiatives. The successful candidate will be a self-motivated and detail-oriented professional with exceptional organizational and communication skills. Considerable use of tact, diplomacy, discretion, and judgment is required together with exceptional organizational skills, attention to detail, and the ability to handle highly confidential information.
Job Description / Responsibilities:

  • Effectively manage the CEO's schedule, including scheduling meetings, appointments, and travel arrangements. Anticipate and address scheduling conflicts with a proactive approach.
  • Serve as the primary point of contact for internal and external stakeholders. Manage and screen incoming calls, emails, and correspondence. Ensure timely and appropriate responses.
  • Oversee the day-to-day operations of the CEO's office, including maintaining supplies, coordinating meetings, and managing office logistics. Keep the CEO's workspace organized and efficient.
  • Act as a proactive problem solver, identifying issues before they arise and taking preemptive action. Anticipate needs and provide solutions to streamline processes.
  • Support the CEO in coordinating various projects by liaising with different departments and tracking project timelines. Provide regular updates on project progress.
  • Organize and maintain files, records, and documentation in a systematic manner.
  • Plan and coordinate domestic and international travel, including flights, accommodations, and itineraries. Ensure all travel logistics align with the CEO's business requirements.
  • Prepare agendas, materials, and presentations for meetings attended or led by the CEO. Attend meetings, take minutes, and follow up on action items.
  • Coordinate special projects and events as assigned by the CEO.
  • Conduct research, compile data, and prepare reports as needed.
  • Maintain confidentiality and manage sensitive information with discretion.

Skills / Abilities:
  • Proven experience as an executive assistant or similar role supporting C-level executives.
  • Exceptional organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to prioritize tasks and manage multiple deadlines.
  • High level of discretion and professionalism when handling confidential information.
  • Proactive problem-solving skills.
  • Ability to work independently and take initiative in a fast-paced environment.
  • Strong interpersonal skills and ability to interact with individuals at all levels.
  • Adaptability and willingness to take on new challenges.
  • Ability to represent the organization and CEO in the highest level of professionalism and regard.

Minimum Qualifications:
High school diploma/GED. Certified Administrative Professional (CAP) or one year of related college courses strongly preferred. Eight (8) years of experience in a business environment. Demonstrated proficiency in typing, writing, spelling, punctuation, and basic grammar skills. Experience and skill in use of business office technology, Microsoft Office software.
