DCH is currently seeking an Executive Administrative Assistant for the Medical Assistance Plans Executive Director's Office The candidate will provide professional administrative support to the highest level of administration within the organization for the Medical Assistance Plans Executive Director and senior staff. This is a hybrid position that requires in-office and remote work with the approval of your supervisor. Your days of frequency in the office can change at any time during your employment based on the business needs of the organization.
Job Responsibilities
Provides professional administrative support under general supervision. Responsible for scheduling appointments, maintaining calendars, and managing multiple priorities. Makes and confirms travel arrangements for executives. Assists in the preparation of reports, gathering and researching information, preparing presentations, coordinating meetings, copying and filing, preparing notes, performing data entry, and other special projects as needed. Reviews incoming correspondences to executive and forwards appropriately or, based on a knowledge of recipient's views, may respond for them. Assists in the administration and interpretation of policies and procedures for the organization and department. Maintains confidential and sensitive information. May act as a spokesperson for departmental inquires. Performs related responsibilities as requested by MAP Executive Director. Additional responsibilities may include:
• Coordinating executive communications, including taking calls, responding to emails, scheduling meetings and interfacing with guests
• Researching, investigating, and/or resolve program data or confidential issues. Drafts documentation, reports, or presentations
• Maintaining an organized filing system of paper and electronic documents
• Ensures operation of equipment; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; processing usage payments; evaluating new equipment and techniques
• Representing the MAP Executive Director in various matters, providing information and assistance to internal and external customers
• Processing P-card and Requisitions utilizing the PeopleSoft Financials
• Developing, maintaining, or modifying complex data files or spreadsheets
• Supporting routine administrative functions for the office to include but not limited to travel expenses, car rentals, leases, vendors, contracts, telecommunications, building security, purchasing, billing/credit, inventory, property control, personnel, payroll, and etc.
• Ensuring supported executives time is properly logged and scheduled
• Purchasing office supplies and other allowable incidentals using a state procurement card. (Requires a financial background check)
• May supervise staff
Minimum Qualifications
Bachelor's degree in business administration, communications or a related field from an accredited college or university AND Three years of office administration or senior secretarial experience, or equivalent combination of experience, education, and training.
AGENCY PREFERRED QUALIFICATIONS: Preference will be given to candidates, who in addition to meeting the minimum qualifications, possess the following:
• Experience in State of Georgia government
• Three or more years of senior secretarial experience
• Excellent oral and written communication skills
• Extremely well organized and detail oriented
• Ability to stay calm & work under pressure towards deadlines and adjust to changing priorities
• Ability to work independently without constant oversight
• Board procedural knowledge and experience
• Highly proficient Microsoft Word, Excel & PowerPoint
• Highly proficient with Outlook
• Possesses P-card and Procurement certifications
• Experience with HCM Time and Labor
• Experience in TGM/PeopleSoft HCM and Financials
• Experience with Concur Travel and Expenses
