Events Sponsorship Coordinator
The Team and Role
Barron's Wealth & Asset Management Group harnesses the power of an elite community of the nation's top financial advisors, who collectively manage $9 trillion and use our platforms to share best practices, insights, and strategies that have resulted in outstanding client outcomes. The W&AM group also serves as a thought leader in the industry, helping advisors develop best practices, benchmark their own practices, and advance their development by pairing them with coaches.
Reporting to the Events Manager, the Sponsorship Logistics Coordinator will represent the Barron's Advisor brand and be a key contributor to the sponsor client experience leading up to and in attendance at Barron's conferences. The candidate will need to be proficient and knowledgeable in all aspects of the benefits sponsors receive, and be able to clearly communicate those details to clients. This is a hands-on role that requires attention to detail, the ability to self-manage and work well within a small team. The candidate must be able to effectively communicate the mission, values, and scope of the institution.
You Will
  • Assist with establishing all deliverables, timelines, and deadlines for sponsor clients, leading up to and in attendance at national, international, and regional events.
  • Communicate event deliverables and deadlines to sponsor clients, while intaking and tracking receipt of materials.
  • Monitor and assist with sponsor registration in CVent, cross-check sponsor hotel reservations
  • Work with third-party vendors to ensure all sponsor materials and shipments arrive and depart accordingly at in-person events.
  • Cross-departmental collaboration with marketing, content, operations, and sales team to ensure sponsorships are seamlessly integrated into events.
  • Coordinate branding and visibility during events, ensuring contractual obligations are met, and provide regular updates.
  • Work with the Events Manager to conceive and design exhibit layouts, navigate venue requirements and fulfill premier-level sponsorship requests.
  • Sponsor Speaker coordination: send communications from official confirmation to post-event, collect sponsor speaker Audio Visual requirements and presentation files along with any special requests, and work with the Speaker Coordinator to ensure all necessary equipment is ordered. Schedule sponsor speaker prep calls and join calls to assist as needed. Assist with on-site program management, including speaker audio-visual needs, run of show, managing VIP speakers

Experience
  • Bachelor's degree and 1-2 years of professional experience preferred
  • A dynamic and engaging person, who enjoys building relationships, gaining expertise, and earning trust with our clients
  • Self-starter who is highly organized, detail-oriented and motivated
  • Knowledge of Excel, Word, PowerPoint, and Google Suite. Knowledge of Cvent and FileMaker is a plus.
  • Strong verbal and written communication skills
  • Superior time management skills, including the ability to set priorities, meet deadlines, and manage multiple projects in a fast-paced, changing environment
  • Must be a team player with the ability to work effectively in a team or independently
  • Prior experience working in wealth management or financial services is preferred
  • Ability to travel to events

Pay Range: $40,000 - $160,000
