Events & Membership Engagement Manager
Description
The Consortium of Universities for Global Health (CUGH) is the world’s largest academic based organization working across research, education, service and advocacy to improve the health of people and the planet. CUGH, a nonprofit organization, is looking for an Events & Membership Engagement Manager to work in their Washington, DC office.
Events
- With direction from senior leadership, this position will oversee/manage the event planning for all of its events including conferences and workshops in an administrative, logistical and programmatic capacity
- Establish communication and operating procedures per event
- Oversee/manage the activities of subcontractors and vendors to execute all aspects of the events
- Maintain and closely monitor financials and event budget. Produce monthly reports and end of event reports
- Identify and lead the process to secure sponsorships and small grants
- Identify and promote activities and identify outreach strategies to increase the organization’s visibility.
- Research and source cost-effective tools and vendors for program plans
- Work with CUGH’s leadership in project planning, development, monitoring and evaluation (before, during, after events), implementation and the reporting on events and activities
- Responsible for all logistical and administrative support for all events. Such activities include scheduling activities, identifying vendors, working with different parties to ensure all are involved in planning, tech support, design promotional materials, etc
- Create and maintain the conference website and mobile app, forms associated with the conference such as abstract form submissions, registration forms, etc
- Work with the Scientific Planning Advisory Committee (SPAC) to compile all abstract and panel proposal submissions; provide clear instructions to the SPAC on how to adjudicate abstract/panel submissions, working on/before deadlines, follow up with all those who will be participating in this process
- Manage the development of the conference printed program, working with the part-time staff from host institutions to ensure accuracy, follow-up on required documentation from speakers and organizers, and advertisement and logo placements. Final product anticipated at least one-month prior to printing
- Schedule, monitor, and manage all interns/volunteers/part-time staff working on events projects
Member Recruitment, Engagement & Retention Strategy
- Develop recruitment, engagement & retention plans to advance membership growth and increase member retention globally
- Work with Senior staff on projects that engage member institutions on international development activities
- Collaborate with internal staff and external board to revise (if needed) the membership & dues that encourage member growth and retention
- Develop a tracking system for both institutional & individual membership to monitor trends, provide recommendations and strategies on ways forward
- Develop comprehensive membership outreach plan to increase & retain CUGH membership over the next three years.
- Oversee the implementation of outreach programs and the mobilization of its members via online communities, listservs, social media, and other digital platforms
- Lead the engagement of regional, state, and local expertise to enhance our Membership Engagement
- Solicit feedback and identify areas of opportunity to improve engagement and outreach efforts
- Collaborate with colleagues, partners and members to represent the organization at conferences and other events in the region
- Administer the CUGH standing Membership Committee, prepare agendas and documentation/analysis requested
- Provide administrative support for membership activities
- Define and establish measures to evaluate the achievement of membership outreach and engagement strategies. Collect data and review progress on the overall growth and success of efforts.
- Perform other duties and lead special projects as assigned
Requirements & Qualifications
Responsible for leading the end-to-end delivery of the organization’s events from briefing through to completion, including:
- Strong project management skills - planning, organizational and scheduling experience
- Experienced in planning, adjudicating and organizing large scale conferences and workshops including providing logistical and administrative support for all events
- Experienced in providing post event management- producing final reports, post-events surveys, financials
- Knowledgeable and experienced in activities associated in the organization of sessions, abstracts, registration management
- Experienced in membership management, engagement and new member recruitment
- Able to work with senior staff to process member payments
- Individual must be highly organized and very detail-oriented
- Work closely with consultant and oversee logistics including travel, facility management for events, etc
- Strong written and verbal communication abilities
- Strong IT capabilities: Microsoft Office, Constant Contact, Go To Meeting /Webinar, website build and design, forms creation
- Ability to work independently and multitask
- Familiar with event software and mobile apps
- Bachelor’s degree in business management, business administration, hospitality management, or marketing
