Job description

Overview:
Under general supervision from the Assistant Director of Event Services, the Event Services Manager will support the events department in every aspect of planning, coordinating, and execution of events at both Chartway Arena and SB Ballard Stadium.

This role will pay a salary of $50,000 to $60,000.

Responsibilities:
  • Responsible for hiring, training, retaining, and scheduling of part-time guest services staff.
  • Plan and conduct yearly trainings for part-time staff.
  • Create postings and supervision of event staff for all events.
  • Assist in creating and implementing security plans for events at Chartway Arena and S.B. Ballard Stadium.
  • Manage and schedule third party security staff.
  • Responsible for planning, coordinating, and facilitating the logistics of events throughout Chartway Arena and S.B. Ballard Stadium.
  • Advances and communicates event information to appropriate departments and staff.
  • Assist internal (University/Athletics) and external clients with event logistics and suggest the most effective ways to use the facility for specific types of functions.
  • Ensure that all event insurance certificates, licenses, and permits required for production are obtained promptly, including pyrotechnics and traffic control.
  • Provide timely and accurate event information is delivered to the Finance Department for settlement/invoicing purposes.
  • Perform administrative/payroll functions for all part-time staff including but not limited to onboarding, scheduling, payroll, documenting attendance, and performance reviews.
  • Investigates and responds to complaints and feedback from tenants and general public.
  • Oversee Guest Services Program and Lost and Found Program.
  • Communicates in a timely fashion any/all problems and proposed solutions to the Assistant Director of Events or the Director of Events and Operations
  • Conduct pre and post show checklists to ensure the building is safe, secure and show ready.
  • Lead Guest Services and Security staff pre-event briefing day of show.
  • Act as Manager On Duty (MOD) during events as assigned.
  • Provide excellent customer service to internal and external clients.
  • Responsible for planning, coordinating, and facilitating the logistics of Multi-Purpose Room events (trade shows, banquets, meetings.)
  • Organize and maintain AV equipment for the Multi-Purpose Room.
  • Assist in S.B. Ballard Stadium for game day need and preparation leading up to game day.
  • Responsible for planning and preparation of assigned arena events.
  • Support in Arena and Multi-Purpose Room changeovers when necessary.
  • Responsible in the purchasing and renting of event equipment Oversee opening or closing of Chartway Arena for event load-in’s and load-out’s.
  • Manage event support staff (stand-by, fire panel, parking) during events when needed.
Qualifications:
  • Bachelor’s degree in sports management or related field from an accredited college/university.
  • Must have min 5+ years experience with event planning and logistics in a similar work environment, including experience with direct employee supervision.
  • Excellent customer service skills as well as proven leadership and organizational skills.
  • Ability to function in a multi-tasking environment.
  • Strong written and oral communication is vital.
  • Ability to work nights, weekends and holidays as required based on event calendar/ as required.
  • Self-motivated with excellent interpersonal and communications skills and the ability to function and make management decision in a fast pace high pressure environment
  • Ability to work independently and as part of a team
  • Must be available to work a flexible schedule, including long nights, early mornings, weekends and holidays as needed.
  • Proficient in use of Microsoft Office programs; experience with AutoCAD preferred
