JOB TITLE:
Event Planner
JOB TYPE:
Full Time - Hybrid
TYPICAL/EXPECTED % OF OVERNIGHT TRAVEL:
20% travel and attendance at assigned sales meetings and conventions
ABOUT YOU:
This role supports Event Management in meeting business objectives by creating innovative, quality events aligned with organizational strategies. Events include national sales meetings, conventions, management meetings, and incentive programs. The primary responsibility focuses on event registration. Secondarily, the incumbent provides support to convention strategies across the organization. The incumbent develops and manages vendor relationships and negotiates all related contracts and services.
Incumbents of this role are required to be on call and/or available after hours, to provide their own mobile device, and to distribute their mobile phone number accordingly. Alternatively, individuals may distribute their office phone number if their office phone is set to forward calls to their personal device when they are not physically present.
YOU HAVE:
  • Passion. Self-motivated, able to handle multiple projects and logistics simultaneously, and deadline-driven.
  • Technical skills. Basic understanding of CVENT registration system. Proficiency in computer applications and database management including Excel, Access, PowerPoint and Word.
  • Event management. Demonstrated knowledge of hotel/convention facility operations (convention space, catering, audio visual) and have knowledge of hotel reservation system operations. Ability to learn new industry, company, product and technical knowledge. Financial and negotiation expertise.
  • Coordinating. Ability to utilize resources to create and manage events where people can learn, have fun and are aligned with sales and marketing objectives.
  • Experience. Minimum 3 years corporate meeting/convention planning and execution experience, including registration management.
  • Education. Bachelor’s degree in business or related field.
  • Preferred. 3 years general business experience in a sales/marketing organization and experience working with independent sales reps. Web familiarity and a Meeting Professional certification.
YOU WILL:
  • Manage event requirements. This includes developing registration websites, managing the total registration process, managing convention program logistics, managing all pre-event and on-site agenda & logistics, maintaining event budget and reconciling expenses, and developing and analyzing event evaluations and ROI metrics.
  • Collaborate. Support the Event Manager in the development of events to meet strategic business objectives.
  • Advise. Audit and improve processes and practices.
  • Strengthen. Cross-train for general knowledge of all event management projects.
  • Help. Conduct special projects in support of business objectives as assigned.
