Position Title: Event Director
Accountable to: Executive Officer
General Description of Position:
Coordinate all events, programs, luncheons, and member services of the Association under the direction of the Executive Officer (EO). Assist the EO with various assignments including, but not limited to scheduling meetings, taking meeting minutes, and other responsibilities as assigned.
Experience:
Must meet minimum qualifications as stated below:
· Proficient in all Microsoft Office applications.
· Experienced in project management and/or event planning.
· Minimum High School graduate with college level event planning, social media, and/or marketing education and experience preferred.
Desirable Characteristics:
· Qualified individual must be reliable, have strong work ethic, positive attitude, excellent communication skills, and willing to contribute to a positive team environment.
· Ability to handle simultaneous projects in a fast-paced environment, while paying close attention to detail. Flexible and able to respond positively to urgent requests.
· Work independently on projects, requiring self-reliance and self-discipline, while effectively communicating project status to EO and other staff and members.
· Ability to coordinate and support committee meetings and discussions while taking accurate and professional meeting minutes. Effective project management with high quality and on-time results.
· Strong people skills required to assist members with requests. Capable of selling memberships, exhibit spaces and other related services.
· Ability to use judgment and discretion with confidential information.
· Enhance the image of the association by maintaining a professional appearance and organized work space. Excellent phone, written, and oral communication skills are required.
· Ability to lift various boxes including, but not limited to magazines and tickets, storage boxes, snack items including soda cases, etc on occasional basis. Approximately 50 pounds.
· Work well with others by maintaining a positive and friendly attitude. Willing to help other staff members as needed. Important to contribute to a positive work environment.
Hours of Work: Ideal: Full Time 8:30 – 5:00 pm, Monday - Friday
Some overtime required in preparation for the Parade of Homes or other events
Duties, Responsibilities, and Accountability:
Events & Programs
Parade of Homes
· Coordinates the Parade of Homes exhibitions in the garages of the Parade homes. This includes booth sales, processing reservations, schedules committee meetings/takes minutes, and set-up logistics.
· Implements various Parade of Homes responsibilities as assigned by the EO.
· Coordinates all aspects of the annual Charity Golf Tournament. Including event promotion, processes reservations, schedules committee meetings/take minutes, and assists in coordinating logistics.
· Recruitment of builders
· Planning and organizing events during parade
· Working with Deseret News, KSL, and marketing agency’s for all marketing strategies
· Working with the builders to create the magazine, website, and app presence
· Working with sponsors and their needs
· Over all social media presence for the Salt Lake Parade of Homes
· Organize photography, renderings, and signage for all builders
· Update website, ticketing, and app presence with Parade Smart
Other Events and Luncheons
· Plan, communicate, execute events such as Trap shoot, golf tournaments, summer BBQ, Inaugural gala, networking, membership luncheons, new member meetings, etc. Details include: securing venue; contracting catering; purchasing awards, gifts, floral, drawing prizes; and auction as needed
· Lead in setting up, checking in, receiving payments, and cleaning up at all events assigned.
· Handles coordination of the Annual Sponsorship program recognition at events. (EO is responsible for obtaining sponsorships).
· Create and Maintain procedures and resource notebook detailing all aspects of job responsibilities.
· Attend Board of Director Meeting to report on event details and answer questions as needed.
Education Support
· Creates, distributes, analyze assessments of members’ educational needs and desires.
· Using assessment results, develops appropriate plan of action to meet needs including identifying and selecting program speakers, including but not limited to recruiting members, with selected area of expertise, as instructors or speaks for future educational events.
· Research member information and training needs and develop strategies to meet those needs.
· Under the direction of the Board of Directors and Education Committee, schedule, plan, promote, obtain instructors, budget, and coordinate education workshops throughout the year.
· Coordinates all logistics associated with educational events including securing training space, coordinating food and beverage service, producing participant handouts, registering attendees, distributing program handouts, negotiating speaker fees and distributing evaluations.
· Develop a healthy source of non-dues revenue through the Education Program. Prepares budget for seminars and conference. Monitors expenditures to meet financial goals.
· Coordinate with State HBA to submit education seminars for CE approval to DOPL, submit attendee credits and follow up all paperwork with DOPL or State HBA.
· Research and seek out grants to enhance existing education programs. Keep accurate records and submit required documentation for funding.
Committee Liaison
· Serve as Liaison to the following committees providing support by preparing agendas, taking meeting minutes, follow-up on assignments between meetings, prepare staff reports etc
o Parade of Homes Committee
o Activities Committee
o Community Service Committee
Other Duties
· Responsible for back-up phones when administrative assistant is not available during breaks, lunch hours, or when out-of-office. Answering phones and greeting office guests is top priority for all staff.
· Complete other duties and responsibilities as assigned by EO. All assigned projects will be completed accurately and reviewed for grammar, spelling, punctuation, and clarity.

Pay: $60,000.00 - $80,000.00 per year
