Job Title: Event & Corporate Services Manager
Department: Recreation
Reports to: Superintendent, Recreation and Revenue Facilities
Job Class: Full Time, Exempt, IMRF Eligible
Compensation: $50,000 to $58,000 per year DOQ
Position Summary
Under the direction of the Superintendent of Recreation & Revenue Facilities, the Event & Corporate Services Manager (E&CS Manager) is responsible for the supervision, management, coordination, and organization of all rentals (except athletic fields), outside sales (rentals & fitness memberships), business development, business networking, and promotional activities, in partnership with Business Services, of the Park District across multiple sites. This is an at-will position.
Work Hours and Location
The E&CS Manager will be based at the Community Center with frequent travel between Park District sites. Work hours will include days, evenings, and weekends to accommodate appointments, events, and rental activities. Work Schedule: Tuesday through Friday 9:30 am - 6:00 pm, Saturday 8:30 am - 5:00 pm.
Essential Duties and Responsibilities
  • Responsible for overseeing, promoting, and enhancing the Corporate Services and Rental programs at the District. Communicates with clients and employees to ensure the success of each rental from start to finish.
  • Meets with rental party to ensure proper floor plan designs, set ups, times, party size and deposits are approved and completed. Sets appointment times to show rental space as needed.
  • Actively responds to all rental inquiries and follows up with potential clients as necessary.
  • Conducts outside sales by promoting Park District programs and rental opportunities at local businesses, meets clients, and prepares presentations as necessary.
  • Manages Special Events as assigned through delegation of tasks, project management, and set ups/breakdowns.
  • Acts as facility supervisor for the Community Center, ensuring building is staffed for rentals, proper opening/ closing procedures are conducted, site is clean and operational, and placing work orders for any needed maintenance.
  • Completes budgeting of revenue and expenses of indoor and outdoor rental facilities.
  • Displays excellent customer service, providing guests with rental information in a polite, courteous and professional manner.
  • Assists in the creation of rental and membership packets, then implements and delivers said packets to potential businesses/clients in a professional manner.
  • Collaborates with marketing to promote all outdoor and indoor rental facilities across all District sites.
  • Creates departmental business plan.
  • Oversees vending machine sales, operations and supplies.
  • Responsible for bar and alcohol supply management.
  • Employee is responsible for all other assigned programs and/or events.

Secondary Duties & Responsibilities
  • Orders facility equipment and supplies as needed.
  • Responsible for the coordination of physical setup of facility functions and/or events (as needed).
  • Performs all job tasks within the rules and guidelines of the Addison Park District's safety program.
  • Orders and schedules use of parks port-a-potties for events as needed.
  • Identifies and Participates in IPRA Events/trainings.
  • May serve on various District committees. Employee must complete other duties and tasks as assigned.

Required Qualifications
  • Minimum of 5 years experience within event management/planning services, CORPORATE SERVICES or similar.
  • Minimum 1-3 years supervisory experience.
  • Bachelor's degree in Recreation and Parks Administration, Marketing, Business Management, Event Management, or another related field, and/or equivalent experience.
  • Must have proven sales experience.
  • Excellent communication skills and enjoy working with diverse clients.
  • Valid Driver's License.
  • Must be CPR, AED, and First Aid certified within six (6) months of hiring.
  • Must have a Food Sanitation License within three to six (3 to 6) months of hiring.
  • BASSET Certified within (3) months of hiring.
  • General knowledge of contracts and billing practices.
  • Advanced knowledge of Word, Excel, PowerPoint, and other office programs.
  • Preference given to bilingual candidates.

  • Ability to read and understand materials, such as, budgets, marketing plans, manuals, policies, and other materials printed in English.
  • Ability to network and create relationships with other Park Districts
  • Ability to create spreadsheets, analyze market comparative data to make recommendations to Superintendent.
  • Ability for use of computer software applications.
  • Ability to use good safety awareness and judgment.
  • Ability to make decisions objectively based on customer service and fiscal constraint.
  • Ability to work independently in day-to-day operations with general direction of the Superintendent of Recreation and Revenue Facilities.
  • Ability to demonstrate leadership qualities to perform required work.
  • Ability to positively work in a team atmosphere and work closely with co-workers and the general public, while promoting the Park District's mission statement, vision, and core values.
  • Ability to maintain self-control and composure in difficult situations.
  • Ability to recognize priorities and meet deadlines.

Environmental & Physical Demands
  • Depending on special events, programs, or activities, the employee may be required to work both inside and outside during various environmental conditions, such as, but not limited to rain and mud, hot and cold temperatures, exposure to dust, dirt, and noise.
  • Employee will frequently operate and handle assigned equipment (computer, cleaning equipment, etc.).
  • Employee must have the physical agility to maintain mobility from site to site, and will be involved in prolonged typing, lifting, stooping, bending, twisting, climbing, sitting, walking, reaching, handling, balancing, stooping, kneeling, crouching, and the ability to lift up to 50 lbs (a thorough pre-employment physical examination will be required after conditional job offer).
