Job Description
The Administrator may work on multiple projects simultaneously, providing support to Vertex teammates and operations. They will undertake administrative tasks, ensuring the rest of the office have adequate support to work efficiently.
Administration:
  • Manage Project Advisory document filing and organization
  • Manage office machine maintenance
  • Manage office supply orders with Purchasing
  • Incoming/outgoing mail and FedEx management
  • Provide support to Project Advisory teammates
  • Other project duties as assigned by Project Advisory senior leadership team
  • Maintains Project Advisory Project and Proposal Logs
  • Reviews construction documentation; completes math checks, analyzing and reconciling complex data, costs, and schedules for compliance and accuracy
  • Performs Admin Review of Project Advisory reports and coordinates quality reviews to ensure compliance with client deadlines
  • Creates draft invoices with corporate Accounts Receivable team, issues client reports and client invoices
  • Supports the creation of Proposals within Shared Drive
  • Uploads and tracks Proposals
  • Interacts with clients on overall project coordination, status updates, and business development opportunities
  • Performs a wide variety of administrative functions including special projects/initiatives
  • The position may require certain infrequent local and regional travel

Office Management:
  • Works with landlord or property management company on issues affecting local office and building
  • Meeting setup and prepare conference spaces, including food and beverage support when requested
  • Ensures all operational aspects of the office function
  • Orders office supplies as needed/requested through Purchasing
  • Orders furnishings as needed/requested through Purchasing
  • Coordinates all recycling efforts
  • Assists with various Vertex programs to ensure teammates utilize and understand systems

Qualifications
Education:
  • High school diploma required; associate's and/or bachelor's degree preferred

Knowledge & Skills:
  • Must be able to perform multiple tasks and handle multiple priorities and have the ability to perform under high stress conditions
  • Strong mathematical, writing and grammatical skills, along with a high proficiency in Microsoft Office (Outlook, Excel, Word, etc.). Bluebeam experience is highly desirable
  • Strong attention to detail
  • Energetic about taking on new tasks
  • Commitment to ongoing learning and professional development
