Job Title: Enrollment Specialist
Job Summary:
The Enrollment Specialist plays a pivotal role in the enrollment process, acting as the first point of contact for potential Sealaska shareholders. This position requires a candidate who is not only welcoming and provides exceptional customer service but also pays meticulous attention to detail to ensure the accurate enrollment of shareholders. As an Enrollment Specialist, you'll be responsible for handling various aspects of day-to-day clerical support and overall customer service for current and potential shareholders. Your duties include processing applications, assisting with shareholder records, addressing shareholder inquiries, notarizing documents, and collaborating on shareholder outreach and educational initiatives. This role is integral to maintaining positive relationships with shareholders and upholding the corporation's standards and values.
Duties/Responsibilities:
• Respond to requests for information, processing applications, and providing assistance to potential applicants and current shareholders.
• Receive and process descendant and leftout enrollment applications. Notify applicants of status.
• Responsible for the handling and tracking of original documents.
• Upon receipt of a completed descendant and leftout application, conduct a review to determine if it meets minimum requirements for the issuance of stock. The standards are established by the Articles of Incorporation. Work with potential shareholders to complete applications by explaining the pieces needed for completion.
• Data entry of completed descendant and Leftout applications into the SIS system.
• Respond to requests for information and applications from potential applicants.
• Respond to applicant concerns requiring advanced levels of expertise, such as cases involving adoption or other extraordinary circumstances.
• Respond to requests for shareholder records assistance and processing of changes of information, maintenance of shareholder records, and supporting documentation for existing shareholders and those created through the issuance of new stock. Troubleshoot regarding shareholder record issues.
• Greet walk-ins as required.
• Answer Shareholder Relations phones and directing inquiries to the appropriate staff member.
• Provide recommendations on improvements and enhancements to MySealaska, Sealaska Information System (SIS), and shareholder relations business processes.
• Responsible for receiving, reviewing, scanning of stock will forms completed by shareholders. Also responsible for the return of the original documents to the shareholder.
• Be responsible for all materials associated with the issuance of new classes of stock. Monitor inventory of stock certificates and supporting documentation, update and replenish as necessary, review resources used for issuance and advise if additional resources are necessary for efficient processing of new shareholders.
• Notarizing of documents for Sealaska Corporation and Shareholders.
• Recreating and remailing of proxies during the election cycle.
• Assist with shareholder outreach events and educational initiatives, including distribution of information, planning, and execution.
• Travel for shareholder outreach and for community meetings and training may be required. Travel includes small planes around Southeast Alaska and travel outside of the region.
• Other duties as assigned by the Shareholder Relations Manager
Required Skills/Abilities:
• Strong customer service skills, particularly in dealing with difficult situations including potentially frustrated, misinformed, and/or upset shareholders.
• Sound general business skills appropriate to a corporate setting.
• Strong professional communications skills, both oral and written while displaying cultural sensitivity and awareness.
• Ability to handle high volumes of telephone calls with occasional in-person visitors with tact and a calm demeanor.
• Ability to adapt to changes in policies and procedures.
• Strong computer skills.
• Ability to prioritize high volumes of material for review and completion.
• Strong attention to detail and discretion when dealing with confidential information.
• Ability to work under pressure and handle multiple assignments simultaneously.
• Ability to organize and maintain computer and paper files.
• Ability to work well, patiently, and cordially with the public, Shareholders, and team.
• Strong project management skills.
• Ability to maintain a professional presence in a work setting and represent the Corporation appropriately.
Education and Experience:
• 2-4 years of professional experience working in an office environment in an administrative, data-entry, or customer service role.
