Job description

The Enrollment Counselor and Coordinator of Dual Enrollment and School Relations is responsible for the daily administration of Carlow’s growing Dual Enrollment (college in high school) program while maintaining a small recruitment territory. This position will manage student registrations, course approvals, internal and external communications, marketing/promotion, research, and data entry, and will assist with growth planning and program development for Dual Enrollment initiatives. Additionally, the incumbent will recruit and enroll a talented and diverse class of traditional undergraduate students each year, shepherding them through the entire enrollment process, from inquiry to matriculation. This includes frequent correspondence, application review, financial aid counseling, and ensuring that all requirements are met for a smooth transition to college.
This position is based on Carlow’s main campus and requires some weekend and evening work. Occasional overnight travel is also expected.
REQUIRED QUALIFICATIONS
  • A Bachelor’s degree is required
  • Strong attention to detail and outstanding project management skills
  • Excellent oral and written communication skills
  • Ability to develop and maintain positive relationships with internal and external constituents
  • Ability to work independently and within a team, multi‐task, take initiative, and function with minimal supervision
  • Ability to collect and interpret data to make strategic decisions
  • Possession of a valid U.S. driver’s license.
  • Must be willing to travel independently, including local (same day) travel as well as occasional overnight travel
  • Occasional lifting of 10-20 lb. boxes will be required
  • Will need to be able to stand for extended periods of time
  • Must be able to work some evenings and weekends.
PREFERRED QUALIFICATIONS
  • A Master’s degree is preferred
  • 1-3 years’ experience in admissions, enrollment, or school counseling
  • Familiarity with college in high school or Dual Enrollment programs
  • An understanding of and the ability to articulate the value of a Catholic liberal arts education
  • An enthusiasm for helping students and families navigate the college search process
  • Should have an intermediate level of proficiency with basic computer software systems (i.e. Microsoft Office) Familiarity with SIS and CRM systems is a plus
PRIMARY RESPONSIBILITIES
Dual Enrollment/College in High School (CHS)
  • Seek opportunities to grow the CHS program through additional courses at current partner high schools as well as partnerships with new high schools. Network with key school and/or district personnel, create marketing materials, and conduct in-person or virtual information seminars to promote curricular offerings and the overall CHS program to prospective students and School leaders.
  • Serve as a contact person for students, parents, instructors, principals, or other curriculum officers interested in learning more about the CHS program.
  • Facilitate the CHS course and student registration process, including course creation in university systems, data entry, payment, and grade collection.
  • Administer all aspects of the platform used to manage the CHS program (Technolutions Slate CRM), which includes creating queries and reports, sending ad-hoc and mass communications, maintaining the student and instructor portals, and troubleshooting.
  • Recruit faculty to develop and offer CHS courses internally and coordinate course approval processes for CHS courses taught within high schools.
  • Verify that documents on file are current, including signed concurrent agreements, syllabi, and instructor resumes; ensure terms of the concurrent agreement are being fulfilled. Manage agreement renewal process.
  • Serve as an ex officio member of the CHS advisory team.
  • In collaboration with other colleagues and the grant administrator, fulfill specific project objectives associated with the Institutional Resilience and Expanded Postsecondary Opportunity (IREPO) federal grant, including associated reporting.
  • Arrange all aspects of a Carlow Summer College (CSC) Dual Enrollment opportunity with courses taught by Carlow instructors.
  • Organize and host campus visits for students enrolled in specific CHS courses, such as Early Childhood Education, Anatomy & Physiology, etc.
  • Support the planning, recruitment, registration, and logistical needs, as necessary, for academic department-specific Dual Enrollment initiatives as well as a summer CHS program in partnership with a local CBO.
  • Conduct research into Dual Enrollment best practices and accreditation standards, competitor CHS offerings, and CHS offerings in place at high schools throughout the region.
  • Evaluate and assess courses, workshops, and the program overall against established benchmarks, learning outcomes, and project objectives.
Recruitment/Territory Management
  • Create a comprehensive plan for travel to, and coverage of, high school visits, college fairs, and regional events by both the incumbent and alumni/parent ambassadors in assigned territory.
  • Plan regional or school-based events, as appropriate, for school counselors, prospective students/families, and admitted students/families in assigned territory.
  • Use Technolutions Slate CRM to maintain consistent communication with prospective students and families with a focus on encouraging applications, campus visits, enrollment deposits, etc.
  • Nurture relationships with school counselors, alumni/parent ambassadors based in the territory, and other influencers and constituents (e.g., teachers, principals, coaches).
  • Assess candidates and make recommendations for admission and merit scholarships.
  • Counsel students and families on financial aid, to include FAFSA completion, release of financial aid offers, and thorough explanation of college costs, loans, and payment options.
  • Assist students with the transition/onboarding process from the time of deposit until start of classes, including satisfactory completion of various tasks and paperwork such as housing, technology setup, financial aid verification, immunization record, etc.
  • Present to large and small groups of prospective students and families on and off campus (enrollment events, high school parent nights, etc.).
  • Use independent analysis and decision making to develop and execute strategies to increase applications and enrollment in the assigned recruitment territory.
School Relations
  • Establish an advisory board of school counselors, independent educational consultants (IECs), and community-based organization (CBO) leaders to provide their expertise and guidance on the operations, services, and relations of Carlow and the admissions office. Organize in-person and/or virtual meetings of this group.
  • Share news and updates with school administrators and counselors via regular communication, including the annual Counselor and Consultant Reference Guide.
  • Support the Coordinator of Campus Visit Experiences in planning an annual School Counselor Visit Day on campus.
  • Seek additional opportunities to host in-person or virtual programs with school counselors and IECs either solely sponsored by Carlow or in conjunction with other partners/institutions.
Liaison
  • Act as an intermediary between the Office of Admissions and an assigned college, office, and/or department within Carlow University.
  • Become an in-house expert on the programs, procedures, and/or offerings of said college, office, and/or department. Serve as a resource to peers within the Office of Admissions.
  • Attend meetings of the college, office, and/or department as a representative of the Office of Admissions, as appropriate.
